Job description
Responsible for the maintenance of a portfolio of properties. This includes frequent contact with landlords of leased properties, managing rent and CAM payments, negotiating lease renewals, managing eminent domain issues, parking, signage, permits, grease traps, access agreements, inspections, appraisals, estoppel agreements, SNDA’s and potential property maintenance violations. - Performs general administrative duties such as making travel arrangements, preparing expense reports, ordering office supplies, reconciling invoices and setting up meetings
- Files, sends out certified letters, stores documents both onsite and in offsite storage
- Facilitates check requests for settlement agreements, ensures Affidavits are executed and returned
- Acts as the liaison with the onsite property management group for the Restaurant Support center including arranging for maintenance repairs and ensuring that parking permits, overnight stays, and badge access are communicated
- Acts as the liaison with landlords, serving as the first point of contact for calls and correspondence
- Works with landlords for Corporate properties to negotiate lease renewals, lease modifications and/or lease extensions, estoppels, SNDA, other landlord/lender documents. Tracks lease renewals and expiring leases and notices landlord in accordance with the lease.
- Pays monthly Franchisee and Corporate rents to landlords including keeping invoices up to date, making sure allocations are correct, and lease amounts match contracts
- Communicates with landlords to provides monthly sales and calculates percentage rent based on sales
- Tracks and manages surplus properties including maintenance of the site and arranging for subleases or purchases by interfacing with potential buyers or brokers on proposals/bids and providing the information for approval of CFO
- Reconciles landlord accounts, CAM and prepares dispute correspondence as required
- Maintains database for landlords leases, and other realty matters, ensures documents/files are recorded and filed for easy retrieval and reference – including abstracting leases for new Company restaurants
- Works with Development on re-opening of Corporate locations and transfers of franchisee locations to corporate locations.
- Coordinates inspections and appraisals for properties
- Works with Operations and Facility Manager to environmental concerns and other property issues (signage, etc.) and/or violations
- Performs other duties as assigned or requested
Desired Skills and Experience
Education and Experience
- Bachelor degree preferred or at least 5 years of experience as a real estate paralegal or property and leasing manager. Law school graduates will be considered.
- High degree of proficiency with Microsoft Office suite and Accruent, or other real estate database software required.
- Over five years of related experience – including familiarity with real estate and legal terms, lease forms and correspondence required.
- QSR or convenience industry experience preferred.
