The Property Manager is responsible for managing a designated portfolio of properties or single property within the Colliers International Tampa Bay, Central and Southwest Florida Property Management organization.  They will also be responsible for working directly with a Sr. Property Manger and/or  Sr. Portfolio Manager and/or Regional Director to ensure that all daily operational, maintenance, administrative, financial accountabilities, client, tenant and community relations are managed according to Colliers International Tampa Bay, Central and Southwest Florida Property Management standards on the designated properties.  They must also assist in business development.

Key Responsibilities

The successful candidate will be able to demonstrate core competencies in the following areas:

  • Develop, administer, and maintain systems and procedures as outlined in the Colliers International Tampa Bay, Central and Southwest Florida Property Management Policies and Procedures Manual.
  • Prepare monthly budget variance reports.
  • Review and approve all invoices for assigned properties.
  • Prepare annual operating and capital expenditure budgets.
  • Make certain proper procedures are followed for ordering materials and services.
  • Calculate operating expense pass-throughs and common area maintenance charges.
  • Review the monthly delinquency report and make contact with tenants to settle past-due amounts.
  • First point of contact for all tenant collection issues. Review and settle questionable tenant charges.
  • Responsible for lease expiration reports.  Work with assigned leasing agent to ensure timely lease renewals.
  • Ensure financial stability of assigned properties.
  • Review and approve all invoices for assigned properties.
  • Conduct weekly property tours of managed properties.  Such tours should pay particular attention to: 1) quality of landscaping and sprinkler systems. 2) quality of elevator operations and appearance. 3) parking areas. 4) general public area appearance. 5) proper condition of all rest rooms. 6) proper functioning and appearance of all mechanical equipment. 7) proper appearance of all vacant spaces. 8) overall exterior and interior appearance.
  • Make certain subcontractor’s activities are being properly coordinated and police maintenance contracts. Ensure certificates of insurance are supplied.
  • Supervise and ensure proper construction of tenant improvements and ensure proper construction fees are billed and insurance certificates are supplied.
  • Be available for coverage of after-hours emergencies at managed properties.
  • Act as liaison between tenants and owners.
  • Manage and train staff in accordance with Colliers SOP.
  • Communicate all issues relating to the assigned property with Sr. Property Mgr and Regional Director
  • Assist in marketing and leasing of space as needed.
  • Ensure ongoing client relations.
  • Assist in marketing and leasing of space as needed and maintain open communication with leasing agent
  • Inform the owner’s representative as quickly as possible of unusual problems and discuss courses of action.
  • Make certain new tenants are welcomed and initiate good tenant relations.
  • Handle any special projects, reports and assignments as requested.
  • Assist in New Business Development for the company.
  • Compliance with Energy Star, Sustainability Program, Preferred Provider Program, Quality Assurance Program, Disaster Program, and Customer Service/Tenant Retention Program.
  • Review and maintain corporate AR for assets assigned.
  • Supervise job functions of property administration, property assistant, and Maintenance Technicians assigned to properties.
  • Adhere to the policies set forth in the Policy and Procedure manual.
  • Other duties as assigned.

Requirements

The successful candidate will possess the following required degrees, certificates or competencies:

  • Self-starter
  • Good communication skills
  • Bachelor’s Degree
  • Real Estate License, RPA, CPM preferred
  • Strong computer skills
  • Ability to Multi-task
  • Strong ability to use computer applications including but not limited to: Word, Excel, Outlook, Yardi and Powerpoint.
