SUMMARY OF JOB:

Plans, organizes, directs, and controls the activities of the Operations function of the Assets assigned to the District Property Manager. Supervises and coordinates activities and operations in order to maintain or enhance the physical appearance and functional capability of all assigned Assets.

Must be able to collaborate with employees at all levels and other external contacts as required by the job. Minimum work schedule at the properties is Monday-Friday 9am-5pm but may be called upon to work additional hours. Must be able to work extended hours (on call 24/7) and multitask. Local Travel is required.

SPECIFIC DUTIES:

· Participate in the development and approval of the Common Area Maintenance, Utilities and Capital Expenditures portions of the Annual Budget and provide input for monthly variance reporting.

· Collaborate with Asset Manager to create long-range deferred maintenance and renovation models for all assigned properties. Primarily responsible for the timely and accurate submission of the “cost side” of the annual budget.

· Prepares, obtains approval for, reviews, plans for, and controls all shopping center operating and capital expenditures, budget spending, customer service, labor efficiency, human utilization, material efficiency and goods/service invoices. Provides input on monthly P&L reports, provides variance explanations, and forecast updates. Collaborates in the generation of Monthly Asset Operating reports.

· Ensures proper implementation of Preventative Maintenance programs by documenting regular weekly inspection of interior and exterior facilities to include common areas, building systems and equipment.

· Manages all questions, concerns, and emergencies for items such as electrical, HVAC, roofing, walls, foundations, lighting, plumbing, glazing, landscaping, painting, asphalt, and water systems.

· Researches, identifies, and recommends areas for repair or improvement, preparing work specifications and utilizing internal resources at properties where assistance is available or outsourcing when it is not.

· Prepares, obtains approval for, reviews, plans for, and controls all property-level and capital expenditures, budgeted spending, labor efficiency and utilization, material efficiency and goods/service invoices.

· Provides monthly analyses of variances and forecast updates. Reviews performance against operating plans and standards

· Negotiates all Maintenance Contracts: utilizes 3-quote system for all planned expenditures exceeding $5,000 USD.

· Obtains all approvals, ensures entry of the contract into Property Archive/Public Drive, ensures Vendor compliance with scope of services requirements.

· Reviews all Vendor Invoices for work completion and pricing accuracy, ensures correctly coded Vendors Invoices and prompt submittal to the AP digital portal.

· Responsible for all Operational issues as they relate to tenant relations.

· Maintains on-going communication with and receives phone calls from tenants, contractors, on-site personnel, and supervisors.

· Interfaces with Corporate Office personnel on all issues related to Administration, Accounting, Leasing and Construction.

· Manages HIPPO work-order platform for all properties.

· Performs routine investigation of tenant problems and resolves them in a professional manner.

· Maintains positive tenant relationships.

· Participate in the creation and implementation of Tenant Manuals for all assigned properties.

· Inform Corporate of certain Trade Area and Market Competitive metrics, including minimum rents, tenant mix, occupancy or efficiency ratios, demographics, CAM costs, competition maps, retailer analyses, and traffic counts. Identifies changes in Trade Areas that might affect the viability/value of Assets.

· Encourages presence in their assigned territories by meeting with industry peers, community leaders, tenants, and brokers to ensure that appropriate public relations, customer service, marketing plans and images are maintained in such a manner that tenants and neighboring associates can be proud of their WSSA affiliation.

· Meets with all local, state, and federal government officials to ensure that appropriate regulations are being met.

· Ensure that community involvement is a primary part of their mission to enhance the value of assigned assets.

· Cooperates with local municipal agencies and departments to ensure adherence to local codes and regulations.

· Coordinates programs relating to tenant, shopper, and visitor safety.

· Create and Implement Disaster and Recovery Protocols for all assigned assets. Notifies the Corporate Office of property damages and claims. Facilitates Insurance Carrier property inspections.

EDUCATION AND/OR EXPERIENCE:

Bachelor’s Degree from four-year college or university preferred. Six to ten years related experience or equivalent combination of education and experience required.

Certificates, Licenses, Registrations:

Required to maintain a valid driver’s license.

Professional certifications may include ICSC CSM, BOMA, contractor, building, roofing, HVAC, Asphalt and Real Estate.

Computer Skills:

Proficiency in Microsoft Office, Word, Excel, Rent Manager, Access, and Outlook
