Franklin Street is currently seeking a Property Manager for one of our commercial office properties. This dynamic team member will proactively and effectively execute the activities that will result in achievement of the property goals, both financial and operational, set by the company. The Property Manager will manage all aspects of a single property or portfolio of commercial, industrial or retail properties including marketing and financial activities. This role requires strong systems proficiency (Excel, Outlook, InDesign, etc.), accounting acumen, and an enthusiasm for customer service.

ESSENTIAL FUNCTIONS
Operates the property efficiently in compliance with Company guidelines in order to achieve maximum return on investment (ROI) for the property owner. This includes but is not limited to:

- Acts as primary contact with property owners to ensure that objectives are being met.
- Manages the rent collection process and ensures that rent is paid in compliance with lease terms. Prepares all required legal notices. Recommends and coordinates legal action as necessary.
- Develops and controls annual budgets for operating and capital expenses. Forecasts management plans and prepares monthly performance, explaining variances.
- Ensures guidelines are followed for purchasing supplies, maintaining expenses within budget and obtaining bids on appropriate property projects, etc.
- Reviews and reconciles tenant rent and Common Area Maintenance recovery charges.
- Negotiates early terminations of leases. Provides lease analysis for client’s review and approval. Documents settlement of and notifies impacted properties.
- Supports all property sales by overseeing due diligence process and monitoring the activity of outside brokers.
- Manages all property staff including recruitment, hiring, training, motivation, performance evaluation and coaching, counseling and/or terminations under the direction of the RPM/VP and the Director of Human Resources.
- Ensures that all employees maintain a professional appearance and courteous demeanor.
- Ensures all employees receive adequate training which includes Company policies and procedures, legal compliance, safety, and other related topics.
- Reviews, verifies, and approves all staff time sheets.
- Prepares and delivers performance appraisal for staff.
- Oversees the maintenance and physical operations of the property through the utilization of Maintenance Supervisor / Building Engineer and staff.
- Performs regular physical inspections of the property including vacant units and follows up with Maintenance Supervisor to ensure that work has been completed to Company standards.
- Ensures property and staff maintain a safe environment for tenants, guests, and staff including compliance with legal guidelines and Company standards. Executes Company safety program effectively.
- Manages the property office activities and staff including submitting financial reports, etc.
- Conducts advanced financial analysis.
- Prepares or supervisors the timely and accurate preparation of all required management and accounting reports and forms, including bank deposits, monthly collection reporting, delinquency reports, accounts payable, statement of deposit accounts, human resources forms, safety reporting, and monthly market surveys.
- Maintains proficiency with Company equipment and software systems (Yardi, time management, MSOffice, Outlook, etc.) in order to review and reconcile monthly reports, communicate effectively, and follow Company procedures.
- Ensures orderly records are maintained in accordance with applicable laws and Company policy and procedure.
- Plans, coordinates, and participates in tenant retention functions.
- Maintains and utilizes supervisory level knowledge of common property management business practices in order to ensure effective implementation of plans and strategies and to ensure timely corporate reporting including:
- Company policies and procedures, market data, systems reporting tools, general accounting processes, legal compliance including OSHA etc.
- Communicates effectively to ensure goals are being achieved.
- Meets with tenants regularly to address any rent delinquencies or resolve issues related to tenant’s occupancy.
- Communicates regularly with RPM/VP and business partners to update them on property issues, events, and overall property performance.
- Models a high level of customer service and ensures all employees display a courteous and helpful attitude towards tenants, co-workers, and all visitors to the property.
- Performs daily review of service requests to ensure timely completion and adherence to legal time restraints.
- Practices and promotes a collaborative team environment.

Requirements:
KNOWLEDGE, SKILLS, AND ABILITIES
- 4+ years of office/industrial property management experience or other related experience required.
- Medical office building management experience preferred.
- Professional business level communication skills including the ability to read, write, and comprehend the English language at a fluent and professional level.
- Bilingual – Spanish a plus.
- Strong communication skills paired with the ability to train and coach staff and discuss complex issues and participate in negotiations with owners and contractors.
- Strong analytical, problem-solving skills.
- Attention to detail and exceptional follow-thru.
- Ability to multi-task in a fast-paced, ever changing environment.
EDUCATIONAL/TECHNICAL REQUIREMENTS
- Undergraduate degree from a regionally accredited college or university preferred. Degree in business, finance, real estate, accounting, or related field is preferred.
- High level of proficiency in computer skills including MS Office applications (Excel, Word, Outlook) and internet / application software is required along with a willingness and ability to learn new software programs. Proficiency with standard office equipment including calculator, fax machine, and electronic scanner required.
- Real Estate license preferred.
- CPM or RPA professional designation or candidacy preferred.
- Supervisory level math skills including the ability to calculate pro-rations, bank deposits, time keeping records, percentages, etc.
- Must possess a valid driver’s license.
- Yardi or comparable property management software proficiency a plus.
