Job Summary
Provides independence and support to individuals who are disabled and individuals that are in low income ranges with the acquisition of appropriate and affordable housing. Perform all clerical, administrative and secretarial responsibilities and tasks among staff in the Housing office and report to the Director. Performs essential COS Certified Occupancy Specialists & Maintenance Coordinator duties.
Primary Duties:

These duties and responsibilities will be rated on the Annual Performance Review.
- Schedules maintenance requests. This includes answering maintenance calls, entering into software, prioritizing requests and scheduling maintenance team. Tracks all Maintenance invoices, including reconciliation to statements and entering invoices in accounting software. Pest control Scheduling/issues.
- Purchases all equipment (replacement reserve items) needed. Tracks all warranties, including manufacturing information per HUD guidelines. Develops and maintains a list of outside contractors to handle all types of repairs or maintenance issues.
- Prepares for REAC Inspections, HOME, NSP, SHIP audits. Performs inspections on properties being repaired/renovated. Meet with appropriate parties (Contractors, Consultants, Architects etc.)
- Provides assistance to prospective tenants including but not limited to inquiries, applications, waiting lists, screening, showing properties, leasing, IR, UT, MO, MI, all audit prep for compliance. Timely file HUD interim and annual re-certifications and all leases.
- Collects, posts, and deposits rents all attorney correspondence. (?) Pre-screens applicants, taking applications, processing applications, maintaining HFI wait list, completing move in and annual renewals, processing move-outs updating maintenance tenant schedule.
Additional Duties and Responsibilities
- Allocate available resources to enable successful task performance
- Oversee all filing systems, maintenance and residents to ensure filing systems are maintained and current
- Monitor procedures for record keeping
- Monitor security, integrity and confidentiality of data
- Implement procedural and policy changes to improve operational efficiency
- Prepare operational reports and schedules to ensure efficiency
- Co-ordinate schedules, appointments and bookings
- Monitor and maintain office supplies inventory
- Handle customer inquiries and complaints
- Report internal staff relations to the Housing Director
Qualifications: Education, Experience and Certification(s)
- Associate degree or up to 3 years of college or technical school, OR High School diploma with 5 years’ Housing Admin experience
- Knowledge and experience with Community Associations
- Possess valid driver’s license and vehicle
- Certified Occupancy Specialist certification
- Manager of Maintenance
- Fair Housing Specialist
- Advanced Certified Housing Specialist
Knowledge, Skills and Abilities
- Must be able to work with people internally and externally at all levels of an organization.
- Proficiency in Microsoft Office skills, with the ability to become familiar with corporate specific programs and software.
- Excellent oral/verbal communication skills
- Detail-oriented and able to carry out work with the highest levels of accuracy
Supervision Received
The incumbent normally receives little instruction on day-to-day work and receives general instructions on new assignments.
