Job Summary: The Property Manager is responsible for the day-to-day operations of the community overseeing and enhancing the value of the property, employing and developing the staff and maintaining positive resident relations. He or she must have excellent working knowledge of A.M.S.I software program as well as MS Office Suite. The Community Manager should be very organized and strong in budget control, team building/motivation, marketing, resident retention and resident relations. Must be a team player and able to manage multiple tasks concurrently. BA/BS in business, sales or related field, in addition to or in conjunction with 3+ years experience in a property management role is preferred. This integral role will be responsible for providing leadership and direction to associates at their assigned property. We are looking for a team-player who advocates on behalf of their staff to enhance performance and has a passion to exceed expectations.This position requires a willingness to relocate at a potential later date.
Essential Functions and Responsibilities
1. Leasing
a. Sell property’s products and services to prospects.
b. Maintain thorough product knowledge of the property, sister properties and competitors.
c. Develop and implement effective marketing strategies to increase traffic and internet leads.
d. Convert phone calls to tours, property tours to leases and internet leads to tours and/or leases.
e. Ensure guest cards are complete, entered into the property management software, and follow up is completed for prospects.
f. Ensure leasing office, tour path, vacant apartments, amenities and general curb appeal of community is pleasing to all 5 senses and is impeccably clean, if necessary spot cleaning to maintain the high standard of which Epoch is synonymous with.
g. Utilizes selection and retention strategies to achieve and maintain 100% occupancy level.
2. Resident Relations
a. Develop and maintain first class customer service relationships with prospects and residents.
b. Manage and resolve resident concerns.
c. Ensures adherence to proper preventive maintenance schedules.
d. Executes marketing and advertising campaigns for apartment leasing and coordinating leasing events such as open houses, tours, and resident promotional activities.
e. Notifies residents of all issues affecting their tenancy.
f. Files court documents for eviction and attends scheduled court hearings as needed.
g. Oversees security deposit administration including inspecting units to determine residents balance or refund, preparing disposition letters, and processing security deposit returns.
3. Administrative
a. Accurately prepare and be thoroughly knowledgeable with all lease-related paperwork, from the application process through move out. This includes processing housing applications, preparing move in information, lease files, renewal letters and renewal leases, completing brochures, completing move out requests, and any other forms utilized as they relate to leasing and resident relations.
b. Assist in acting as a Risk Manager to ensure the safety and well-being of our residents and property. This would include but not be limited to testing pool chemicals and pool safety equipment, routine property inspections to look for safety hazards and potential criminal activity.
c. General clerical assistance including but not limited to answering phones, taking messages, managing the facilities/work orders in the property management software, filing, and ordering office supplies.
4. Staffing
a. Supervises and trains all property associates.
b. Evaluates associates’ performance, including the completion of annual performance reviews.
c. Counsels under-performing associates and provides critical feedback to improve performance.
d. Works with Regional Supervisor in the selection of property associates. Assumes primary responsibility for preliminary interviewing.
Required Work Hours: This position requires the ability to work any of the seven days of the week, 52 weeks of the year. Due to Community staffing limitations, it is extremely critical that individuals be able to work their scheduled hours on a consistent basis and, if necessary, overtime hours when requested. Position requires the ability to serve on-call as necessary.
Required Education, Training and/or experience
- Minimum of 3 years of experience in property management industry.
- Prior supervisory experience in a management position, which includes annual budget processing, accounting, & interviewing/selection/disciplinary action of employees
- Ability to lead staff to meet job duties and expectations
- Strong marketing and resident retention skills.
- Excellent oral and written communication skills
- Must have positive attitude, be proactive, be a team player, flexible and able to prioritize workload, manage challenging situations and meet deadlines.
- Professional designation (CAM, ARM, CPM, CAPS, Real Estate License) helpful.
