The PROPERTY MANAGER is responsible for the overall operational and financial aspects of their assigned property while meeting company goals in that area. Results are achieved by facilitating the optimum performance in the areas of personnel management, leasing, reputation management, collections, resident services, maintenance, revenue enhancement, capital improvements, information reporting and compliance with all applicable laws and company policies. The position of PROPERTY MANAGER reports directly to the Regional Director and Regional Vice President of Operations and supervises all on-site personnel in the leasing and maintenance areas.

Job Duties

FINANCIAL RESPONSIBILITIES

Ø Develop yearly operating budgets.

Ø Accurately create, prepare and convey all operational and financial data in a timely manner.

Ø Work with management and ownership to identify property financial/sales/marketing goals and objectives. Be responsive and receptive to owner’s needs, goals, and objectives.

Ø Maximize rental income while minimizing expenses through effective planning and control.

Ø Effectively monitor all income including delinquencies.

Ø Monitor the timely receipt and reconciliation of rent collections and ensure landlord/tenant statutes are followed.

Ø Evaluate and recommend changes on rent/pricing strategies and ensure websites and printed material are accurate and updated.

Ø Analyze and evaluate monthly and/or quarterly financial statements. Write clear and concise owner’s reports to substantiate the analysis.

Ø Approves property expenditures and oversees petty cash.

Ø Achieve the highest possible net operating income through the implementation of cost control and revenue improvement programs.

Ø Update all rents, deposits and application fees received from residents. Posts incoming monies.

Ø Responsible for approving and submitting all invoices for payment.

Ø Direct efforts to implement sales and marketing plans which effectively maximize rental income and result in high occupancy.

Ø Introduce and monitor effective lease renewal programs.

Ø Ensures appropriate notices are issued when necessary (e.g., late payments, eviction notices, returned check memos).

Ø Updates Regional Director of physical and economic occupancy status on a weekly basis.

TEAM LEADERSHIP

Ø Acts as an effective leader to their team. Recruits, hires, trains, mentors and supervises all on-site property staff in order to achieve operational goals of assigned property. This process includes new employee orientation, review and approval of timesheets, instructing and advising on-site staff of employee policies and procedures, and annual performance appraisals.

Ø Works with the Human Resources department in using performance improvement plans to achieve property and company goals.

Ø Coordinates with maintenance staff to ensure timely turnover of apartments after move-out.

Ø Provide ongoing training and motivation to staff and ensure assigned training sessions are completed as needed.

Ø Implement methods to ensure leasing team achieves the highest standards with shopping report scores.

Ø Provides guidance and direction to the leasing staff to optimize overall sales performance.

Ø Create staffing schedules and ensure they are consistent with community needs.

Ø Establish and implement leasing goals, while managing an effective lease expiration program.

Ø Ensure employees are in compliance with all Fair Housing laws.

Ø Oversees a program for lease renewals each month.

Ø Works with Maintenance Manager to ensure accurate records are being kept in the property management software system regarding preventive maintenance, service requests (received and completed), expenditures, apartment make‐ready status, work‐in‐progress, etc.

Ø Works with Maintenance Manager to ensures resident service requests are performed timely and with a professional attitude.

Ø Ensures new maintenance employees are receiving thorough orientation training.

Ø Works with team to ensure the residents are provided with a quality move in experience.

RESIDENT RELATIONS

Ø Effectively show, lease, and move in prospective residents.

Ø Implement programs for resident retention and service request follow-ups.

Ø Ensure that an adequate number of units are market ready.

Ø Ensures that lease files are complete and are being executed properly. Approves all rental applications and signs new move-in contracts and addenda

Ø Ensures apartment is ready for resident to move-in on agreed date.

Ø Design an effective preventative maintenance program to monitor service request turnaround and ensure the responsiveness of the maintenance staff.

Ø Perform evictions, utility cut-offs and landlord liens as required on delinquent rents.

Ø Physically inspects property when on grounds, picks up litter and reports any service needs to maintenance staff.

Ø Accepts service requests from residents and routes to Maintenance Manager for prompt processing.

Ø Monitor, manage and actively engage in the assigned sites online reputation through usage of programs and services with goal to maintain and enhance the image of the site.

Ø Launches campaigns to increase satisfaction scores for their property.

Ø Conducts service follow-up with residents when work is completed.

Ø Schedules turnkey contractors with management approval.

Ø Maintains daily status of apartments. Inspects models, move-ins and “market ready” vacancies daily to ensure move-in ready condition.

Ø Assist and ensure all resident complaints are handled promptly and appropriately.

Ø Adheres to established company standards for screening applicants for residency.

Ø Plans and participates in resident activities.

Ø Reviews all notices to vacate to determine the cause of the move-out. Locates any problem areas and develops plans for process improvement.

Ø Interact directly with prospective and current residents to achieve maximum occupancy.

Ø Generates and handles traffic, leasing apartments, qualifying prospects, preparing lease documentation and completing move-in paperwork and procedures.

Ø Interfaces with residents’ in a courteous and professional manner. Addresses inquiries and/or resolves complaints ensuring the highest level of resident service and satisfaction.

OTHER

Ø Effectively maintain product knowledge of community and competitive communities through consistent evaluation of market conditions and trends. Ensure leasing staff develops similar knowledge.

Ø Conducts property inspections with local housing authorities, local, regional and national government agencies, property owners, and WRH management teams.

Ø Conducts market surveys weekly/monthly as required and compiles trend report information.

Ø Communicate effectively with owners, residents, vendors and co-workers.

Ø Maintains records on all aspects of management activity on a daily, weekly and monthly basis. Submits required reports to corporate office on a weekly and monthly basis.

Ø Ensure that the property meets all requirements as outlined in WRH audits and regulatory agency audits.

Ø Maintains all on site local and state licenses.

Ø Maintains positive on-line reputation management, posts community Facebook activities.

Ø Answers and handles incoming calls from prospective residents, current residents, owners, corporate management, vendor/suppliers, etc. works to resolve all concerns in a professional, timely and courteous manner.

Ø Reviews and approves bond certification, HUD or tax credit paperwork.

Ø Monitors to ensure all electric service is established in apartment community’s name at the time of move out.

Ø Performs any additional duties assigned by the Regional Director and Regional Vice President.

Qualifications

Ø Two to five years of experience in residential property management.

Ø Proven leadership experience in building a team and effectively leading a team.

Ø High school diploma required, college degree preferred.

Ø Proficiency in Microsoft Office Suite including Word, Excel & Outlook.

Ø Experience with current property management software preferred.

Ø Use of social media, software applications and search engines to leverage resident and prospect engagement.

Ø Must have sufficient skills and knowledge in the use of computers and software applications to adapt to system changes.

Ø Strong written and verbal communication skills.

Ø Well-developed customer service and sales skills.

Ø Positive attitude, strong work ethic and ability to lead and motivate others.

Ø Must be able to work a flexible work week as required, which may include occasional traveling to assist other worksites.

Ø Detail Oriented; Organizational and analytical/problem solving skills, strong mathematical aptitude.

Ø Familiarity with Fair Housing and EEO laws.

Ø Highest level of honesty, integrity and ethics.

Ø Valid Driver’s License and automobile insurance needed.

Ø Exhibits solid communication skills, with an ability to calmly resolve disputes or complaints.
