Position Description

PROPERTY MANAGER

Department: Property Management Location: Tampa/Orlando Region

Reports To: Asset Manager FLSA Status: Exempt

SUMMARY OF JOB:

Plans, organizes, directs and controls the activities of the Operations function of the Assets assigned to the Property Manager. Responsible for maintaining and enhancing the physical aspects of the properties assigned.

Must be able to work with employees at all levels and other external contacts as required by the job. Must be able to work extended hours (on call 24/7), and multitask. Travel is required.

SPECIFIC DUTIES:

Participate in the development and approval of the Common Area Maintenance,

Utilities and Capital Expenditures portions of the Annual Budget and provide input for monthly variance reporting. Collaborate with Asset Manager to create long-range deferred maintenance and renovation models for all assigned properties. Primarily responsible for the timely and accurate submission of the “cost side” of the annual budget.

Prepares, obtains approval for, reviews, plans for and controls all shopping center and capital expenditures, planned outputs, budget spending, customer service, labor efficiency, human utilization, material efficiency and goods/service invoices. Provides quarterly analyses of variances and forecast updates. Places all major and capital expenditures on long-range programs correlating with project cash flow. Reviews performance against operating plans and standards

Negotiates all Maintenance Contracts: utilizes 3-quote system where achievable, obtains all approvals, ensures entry of the contract into Property Archive/Public Drive, ensures Vendor compliance with scope of services requirements.

Responsible for all Operational issues as they relate to tenant relations. Maintains on-going communication with and receives phone calls from tenants, contractors, on-site personnel and supervisors. Interfaces with WSSA Corporate Office personnel on all issues related to Administration, Accounting, Leasing and Construction. Manages questions, concerns, work orders and emergencies for items such as electrical, roofing, snow or ice, asphalt and water. Performs routine investigation of tenant problems and resolves them in a professional manner. Maintains positive tenant relationships. Communicates shopping center policies and procedures to tenants and notifies tenants of non-conformance issues.

Participate in the maintenance of research databases organized to provide analytical data on certain Trade Area and Market Competitive initiatives. These initiatives include, but are not limited to, minimum rents, tenant mix, occupancy or efficiency ratios, demographics, CAM costs, competition maps, retailer analyses, traffic counts. Identifies changes in Trade Areas that might affect the viability of WSSA Assets.

Encourages WSSA’s presence in their assigned territories by meeting with community leaders, tenants, and patrons to ensure that appropriate public relations, customer service, marketing plans and image are maintained in such a manner that tenants and neighboring associates can be proud of their WSSA affiliation. Meets with all local, state and federal government officials to ensure that appropriate regulations are being met. Ensure that community involvement is a primary part of their mission to enhance the value of assigned assets. Report on any short-term or long term factors affecting the value of individual assets. Cooperates with local municipal agencies and departments to ensure adherence to local codes and regulations.

Coordinates programs relating to property loss prevention. Coordinates programs relating to tenant, shopper and visitor safety by inspecting properties, documenting findings, and establishing standards, recommendations and dates of completion. Works with property loss prevention as needed. Enhances awareness of Project Emergency Systems (such as risers, utility shutoffs, current staff contacts and emergency contractors). Notifies the Corporate Office of property damages and claims

Supervises and coordinates activities and operations in order to maintain or enhance the physical appearance and functional capability of the Assets. Ensures proper implementation of Preventative Maintenance programs by inspection of interior and exterior facilities to include common areas, systems and equipment. Researches, identifies and recommends areas for repair or improvement, preparing work specifications and utilizing internal resources at properties where assistance is available or outsourcing when it is not. Reviews all reports submitted by on-site personnel and contractors. Meets with and reviews jobs with contractors and maintenance personnel.

EDUCATION AND/OR EXPERIENCE:

Bachelor’s Degree from four-year college or university preferred. Six to ten years related experience or equivalent combination of education and experience required

Certificates, Licenses, Registrations:

Required to maintain a valid driver’s license.

Professional certifications may include ICSC CSM, contractor, building, roofing, HVAC, Asphalt and Real Estate.

SKILL SETS:

Computer Skills:

Proficiency in Microsoft Office, Word, Excel, AvidXchange, Access, and Outlook. Familiarity with the Internet.

Operate basic office equipment such as copier, fax and adding machine.

Communication Skills:

Ability to read, write, speak and understand English well. Knowledge of Spanish helpful.

Language Skills:

Ability to read, analyze and interpret the most complex documents, reports, correspondence, safety rules, operating and maintenance instructions, procedure manuals, general business periodicals, professional journals and technical procedures, and government regulations.

Ability to write reports, business correspondence, procedures and speeches using innovative techniques or prescribed styles and formats.

Math Skills:

Ability to add, subtract, multiply and divide units of measure using whole numbers, common fractions and decimals. Ability to perform these operations using units of American money and weight measurement, volume and distance.

Ability to apply concepts of basic algebra and geometry.
