JOB TITLE: Administrative Assistant
HOURS: 7:30 a.m. 12:30 p.m.
RESPONSIBLE TO: Director
OVERALL RESPONSIBILITIES: Assist the Director with the general daily operations, maintain all preschool files.
RESPONSIBILITIES:
- Perform opening duties as designated by director.
- Prepare monthly VPK attendance report, make copy and submit in portal on a timely manner.
- Prepare monthly VPK Attendance Long Forms and obtain signatures in accordance with VPK requirements.
- Process tuition payments utilizing Tuition Express and prepare breakdown for church accountant.
- Assist parents with questions regarding tuition including informing them of declines after processing tuition payments.
- Maintain and update both computerized and hard copies of childrens records to include immunizations and other documents/information we are required to have.
- Maintain Injury Log from accident reports before filing them in childs folder. Advise director of trends or equipment needing repairs or removal.
- Prepare reports, flyers, letters as needed. Make necessary copies to disseminate, as needed.
- Be familiar with all staff procedures, family & staff policies and emergency procedures.
- Assist director in coordinating different school activities.
- Inform director immediately of any issues or concerns expressed by parents and staff.
- Maintain confidentiality of family/staff records and information received from these.
- Other duties as assigned by supervisor.
QUALIFICATIONS:
- Must have a bachelors degree in Early Childhood Education, preferably.
- Must be Catholic or of Christian faith.
- Have knowledge of and proficiency working with computers and office software.
- Have excellent people relations skills and professionally represent the preschool to those who call or visit.
- Experience and willingness to work with young children as needed.
- Must meet background-screening requirements as dictated by Child Care Licensing.
- Must obtain required 30 and 10-hour training certificates within first year of employment.
- Must obtain a minimum of 20 training hours each year thereafter.
- Maintain current first aide and CPR training.
- Demonstrated ability to set priorities and organize work effectively and efficiently.
