Full Job Description

The Purchasing Coordinator – Facilities is responsible for managing the procurement of supplies and services for the Facilities Department. This role also serves as an auditor, ensuring the accuracy of all order fulfillment and that all purchasing policies are followed. This position reports to the Controller.

Your day to day

  • Establish and maintain stock supply listings for Facilities Department.
  • Assist in setting stock supply Par Levels.
  • Establish and maintain approved vendor listing.
  • Assist Facilities teams in the setup of new vendors.
  • Provide guidance and training to the Facilities teams on the requisition process.
  • Receive and verify accuracy of vendor shipments for Facilities departments.
  • Establish weekly schedules for ordering stock and non-stock supplies.
  • Update supply levels in Facilities work order database (FMX).
  • Work with department managers, vendors, and Purchasing Coordinator to ensure the best options are exercised in the procurement of supplies and services.
  • Review and verify all requisitions for Non-Stock supply and service requisitions.
  • Ensure that all orders are fulfilled timely while following purchasing policies and procedures.
  • Verify accuracy of all order fulfillment.
  • Electronically verify receipt of all supplies and services.
  • Ensure delivery of supplies to appropriate area.
  • Work with Facilities teams to ensure a system is in place for ordering, receiving, collecting and submitting documentation to the purchasing department in a timely manner.
  • Provide guidance to Facilities teams on how to reduce and maintain the number of Emergency Purchases. Ensure Facilities teams are appropriately documenting justifications and approvals.
  • Work with Purchasing Coordinator to manage and reduce expense.
  • Work with Purchasing Coordinator to periodically review vendor terms and conditions for most favorable outcome for the Zoo.
  • Ensure property is tagged upon receipt.
  • Comply with procedure for inventorying, tracking, and disposing of property.
  • Work with managers to ensure essential disaster supply stock is up to date.

What are we looking for?

  • High School Diploma or equivalent. College degree preferred.
  • One to two years previous experience in procurement required or equivalent combination of education and experience.
  • Experience with Excel, Word, and Blackbaud software preferred.
  • Excellent verbal and written communication skills.
  • Able to communicate ideas and contribute effectively to the department.
  • Customer Service Orientation: listening and understanding the customer (both internal and external); making the customer’s satisfaction a high priority in all areas of responsibility but within the constraints of delegated authority.
  • Thoroughness: strong attention to detail with ability to effectively monitor quality and accuracy.
  • Problem Solving/Analysis: ability to troubleshoot, think logically through processes, determine issues for resolution, communicate options effectively as needed, and bring issues to close.
  • Integrity/Trust: ability to inspire trust and confidence with coworkers and with internal and external customers based on strong competence and consistent respect for organizational values.
  • Must be flexible and have the ability to multi-task in a fast paced environment while maintaining a positive attitude with the public.

  • Conducts all activities in alignment with AZA standards and guidelines, all relevant laws and regulations, safety standards, and standards that ensure animal welfare.
  • Must be willing and able to work full time and with occasional varied shifts including holidays, weekends and in support of the park and events as needed.
  • Must be able to work in a variety of physical positions, including extending sitting, bending, standing, lifting, and walking.
