Who are we looking for?

Our growing, high volume real estate team is seeking a highly organized professional to help the team service our clients with seamless, top-notch customer service from pre-listing to contract. We are seeking someone who enjoys people and excels at building relationships both in person and over the phone. Attention to detail, a systematic approach, creative problem solving, and exemplary customer service and communication skills are necessary to assist the team’s efforts in servicing our clients.

The Listing Coordinator is deeply committed to supporting the team in achieving greater and greater levels of success and to growing his/her own skills. They must provide stability, know-how, and efficiency to busy real estate agents and team members and have the ability to track shifting deadlines and priorities. This person is someone who thrives in a fast-paced work environment. The main priority of this position is taking care of the numerous details and checklist items that arise from the time of listing, until under contract.

What will you do?

  • Oversee all aspects of listing a home for sale.
  • Prepare & arrange for delivery of pre-list package (material that an owner receives prior to meeting with the team)
  • Prepare listing presentation book
  • Coordinate with sellers (home owners) all the steps of listing a home (property photos, marketing description, home measurements, staging, repairs, cleaning, signage, lockbox, access requirements & marketing activities, etc).
  • Attends photo shoots w/ photographer
  • Ensure all necessary signatures are on all listing documents (agreement, disclosures and other necessary documentation) and uploaded to the office compliance department.
  • Ensures all other pertinent documents are filled out correctly (disclosures, FAQs, etc)
  • Coordinate showings & feedback by phone
  • Coordinate inputting all listing information into MLS, marketing websites, and ensure property syndication to Zillow, Realtor.com, etc. and update as needed.
  • Provide proactive weekly feedback reports to sellers (homeowners)
  • Assist with scheduling & preparation for all Open Houses, which includes marketing in all the appropriate places
  • Ensure client information is entered into database and transaction management systems
  • Answering multiple phone lines and directing callers to appropriate personnel
  • Manage future listings
  • Prepare Buyer Packages for buyer’s agents
  • Assist in scheduling of showings for buyer’s agents
  • Contribute in promotional marketing responsibilities with other members of the team
  • Contribute in selection of marketingvendors
  • Keep inventory of signs & lockboxes
  • Coordinates delivery of real estate related materials (could require personal delivery)
