We are a well known, real estate team serving the Tampa Bay area is in need of an office assistant.

Ideal candidate would hold an active real estate license in the state of Florida and have at least 2 years of experience in the real estate industry.

The objective of this position is to support the team, while maintaining company values, as needed through a variety of tasks in and outside of the office on a daily basis.

Job Duties will include:

Setting up Contract Files and learning how to use company software
Monitor Contract Deadlines, follow up and communicate with all parties involved throughout the process
Coordinate Inspections- Home, Roof, Walk Through, Etc.
Make keys as needed for new listings, let appraisers & photographers into properties Attend inspections/closings when needed Assist w Annual calendar mailing list to database clients- format and proof Excel list for review
Assist with marketing, to include creating postcards, social media posts and email campaigns Assist with organizing client events, contests and rewards program

Additional Requirements:

  • Formal hours for this position are 8:30am to 5pm, Monday thru Friday in the office with flexibility to work some weekends and evenings
  • Ability to be creative and create content for marketing with minimal guidance
  • Active Florida Real Estate License or willing to become licensed within 60 days of employment
  • Thorough understanding of the Florida FAR/BAR and AS-IS Purchase Agreements
  • Ability to modify and draft basic contract addendum’s
  • Excellent communication skills, as this position will require contact with clients and outside parties
  • High attention to details at all times. Work efficiently under deadlines
  • Intermediate to Expert experience using Excel, Dotloop and real estate CRM softwares
  • Assist with CMA’s, creating weekly property reports, pull data from MLS and summarize findings
  • Previous experience with transaction and closing coordination, including setting up contract to close files, monitoring contract deadlines, and advising parties on closing timetables
  • Must have reliable transportation- attending occasional inspections and closings will be required
  • Assist with occasional ‘personal assistant’ tasks, to include but not limited to helping with event planning and set up, coordinating pop-by’s, picking up orders from various vendors, & other non-company related tasks
  • Always come to work with a positive, energetic attitude. Be willing and ready to assist where needed
  • BE FLEXIBLE. Job tasks and descriptions may change from time to time for the benefit of the team
  • Ability to travel over 50 miles to attend offsite trainings with occasional overnight stay requirements
  • Coachable attitude with a goal setting mindset
