Full Job Description

Our Real Estate Team is searching for an exceptional Administrative Assistant / Transaction Coordinator to join our team. If you have a Real Estate License and transaction or listing coordination experience, this may be the position for you!

The ideal candidate is someone who is great with details, cares about the quality of their work, enjoys going above and beyond for our clients, and enjoys working in a fast-paced environment.

This person needs to have outstanding rapport building and communication skills, be friendly, have a positive attitude, team player, and the ability to multi-task with a sense of urgency. We are seeking a self- motivated thinker who is great on the phone, thinks outside the box, involved, technically savvy and wants to work long term with a strong team.

QUALIFICATIONS

  • Florida Real Estate License
  • Transaction Coordination experience (minimum 2 years)
  • Advanced in Microsoft Office and/or Google workspace
  • Very familiar using Stellar MLS, ShowingTime and Databases
  • Proficient in office, CRM(s), Internet, and a quick learner in other programs
  • Above average attention to detail
  • Professional demeanor
  • Exceptional phone skills
  • Interpersonal/oral and written communication
  • Quick thinker, learner and self-motivated
  • Exceptional at follow-through, execution, and attention to detail
  • Provide concierge level service to our clients
  • Must be willing to work as needed to meet deadlines
  • Comfortable preparing listing documents, presentations, and other documents

SUMMARY OF RESPONSIBILITIES

  • Prepare and monitor documents and processes associated with real estate transactions
  • Communicate (verbal, written and in person) professionally with clients and vendors and ensure all tasks are completed on-time with the highest level of customer service
  • Data entry into relevant databases, calendars and appFiles to keep team current
  • Approach duties and responsibilities with business maturity, enthusiasm, and positive attitude
  • Be a self-starter and take responsibilities over from the Agent, set a plan in motion quickly, and take action to complete tasks and goals.
  • Other duties as assigned
