Development Coordinator / Administrative Assistant

We are a real estate development company  looking to grow our team and have an immediate opening for a Development Coordinator / Administrative Assistant .  

The ideal candidate will have a good understanding of the real estate development business with prior work as a paralegal and / or a commercial or residential loan closer or processor.

We are looking for someone that is familiar with the terminology and documentation process of new development and acquisition commercial real estate projects. 

SKILLS / ABILITIES

·       A minimum of 5 years of office experience in a real estate development business.  

·       Must be able to work independently, multi-task and prioritize requests.

·       Must have a professional, pleasant, and positive demeanor and the ability to work well under pressure and given competing demands and priorities.

·       The candidate must possess strong skills and literacy in most office computer products and software, including word processing (Word), scheduling/email (Outlook), spreadsheets (Excel), presentations (Power Point), and other data base applications.

·       Must be proficient in communicating at all levels both in oral and written form and competent at reviewing, editing, and preparing comprehensive letters, etc.

·       Interest in real estate development or development experience is a requirement.

·       This would be a great entry position if interested in a career in development.

Summary: Responsible for the coordination, documentation, and finalization of a variety of transactions associated with real estate development. Acts as a liaison for Corporate officers with outside counsel, title agencies, and lender’s counsel by performing the following duties.

Duties and Responsibilities include the following. Other duties may be assigned

  • Needs to be a self-starter and able to work independently on what needs to be done.
  • Facilitates and tracks routing and signature of documents, forms, and lease agreements.
  • Responsible for coordinating and managing due diligence activities with team, legal counsel, and prospective lenders, buyers, and sellers
  • Must be very detailed oriented – Maintains detailed and organized files.*
  • Supports development team for administrative and operational tasks as asked.*
  • Reviews and interprets lease terms, and proofreads drafts and legal documents.*
  • Responsible for maintaining project information and details on spreadsheets.*
  • Files, faxes, scans, copies, and distributes lease documents and other correspondence for execution and distribution.*
  • Controls documentation and maintenance of mater lease files on company shared drive.
  • Works in a collaborative manner with other departments to include accounting, legal, and corporate office.
  • Assists in closing activities.
  • Organizes and transmits documentation and other information to appropriate parties.
  • Will also be responsible for backup to assist President when his Executive Assistant is unavailable.
  • Will have access to highly confidential documents and will need to be discreet.
  • Will assist with special projects as necessary
  • Will perform other duties as needed. Needs to be a Team Player as a small office may require some menial tasks occasionally.
