We’re in search of an organized, professional real estate executive assistant to serve as the main point of contact for the Team Lead. Your responsibilities include relaying important messages to the Team Lead, scheduling the Team Lead’s meetings and trips, and systematizing information in the client databases.

In addition, you will help implement and manage multiple systems with a high-level of excitement. This excitement should be the fire that fuels problem-solving, efficiency, and results. This person will be self-motivated and prepared to achieve results at an exceptional level. Applicants should be decisive, thorough, and excellent communicators. You will serve as the right hand of the Team Lead and play a big role in developing a team to execute the vision of the business model.

  • Make appointments and travel itineraries for broker
  • Take notes and deliver messages from phone calls, emails, memos or reports to the broker
  • Input information received about clients through streamlined database management
  • Create and implement systems to achieve efficient results
  • Help create brand awareness
  • Be prepared to be the point of contact for all client inquiries
  • Monitor and measure sales goals using SISU or Firepoint CRM software
  • Understand the concept of measuring conversions for Dial to conversations, conversation to appointments, appointments to contracts, and contracts to closings
  • Exceptional organizational and project management abilities
  • Maintain a positive attitude
  • Solutions-based approach with exceptional problem-solving skills

Qualifications

  • Possesses discernment for working with confidential information and tight deadlines
  • Excellent communication skills and organizational skills
  • 2-3 years experience as an executive assistant or administrative assistant
  • Experience in the real estate industry preferred
  • Familiar with Microsoft Word, Excel, and Multiple Listing Service
  • College Degree/Real Estate experience
  • Bilingual required
  • Heavy knowledge with Real Estate CRM’s
  • Understand system integrations for efficiency
  • A player mentality
