Full Job Description

We’re hiring a driven real estate executive assistant to support the co-owners of Tampa’s Best Realty. You’ll be asked to do a wide variety of tasks and projects so you must be a quick learner with lots of experience in technology, marketing, and social media.

You like a mix mash of work anywhere from working on a blog post, processing a contract at 4 pm or running to a property to wash the windows so it will photograph well.

You hate drama.

You are known as “Cool Under Pressure” by your friends and don’t get frazzled easily.

You have at least 1-2 years of Executive Assistant / Office Management Experience.

You don’t care that you’ll have 2 bosses with completely different personalitites.

Compensation:

$12 – $17 hourly

Responsibilities:

  • Transaction Management – Track and Manage Sales Files for the Firm – Make sure Agents meet deadlines, turn in the required paperwork, and have complete files.
  • Marketing – Manage Website and Social Media Calendar, including creation of new content using Canva. Assist in managing and creating marketing material which may include: Social Media Posts and Stories, Post Cards, Letters, Flyers, Google Ads, Youtube, Banner Ads, Facebook Ads, Video Planning, Etc.
  • Data Entry – Manage websites and PM software to make sure data is accurate on a daily basis. Run Audits/Reports to catch Mistakes,
  • General Admin -Schedule appointments for Owners, Run Errands
  • Property Management Support – Manage Active Rental Data Entry, Input Bills and Rent Daily into our Property Management Software, Dispatch work orders to vendors, Post Notices, Perform Inspections, Assist with lease renewals, Close Work Orders and assist in tracking and keeping numbers as low as possible for days vacant and turnover timelines.
  • On-boarding New Sales Agents – Assist in the hiring and training process for new sales agents. Manage Agent/Employee Files and Checklists.
  • Get Checklists and Systems in Place – Assist in updating the company handbook and creating checklists for processes.
  • Office Support – Answer Phones. Make sure the office is clean, organized, and files are put away every day. Assist in taking inventory and ordering supplies. Complete Organization projects. Manage Key Inventory.
  • Events Support – Plan and Support Company events which may include client and vendor appreciation parties, Informational Seminars, Company Meetings, and Open Houses.

Qualifications:

  • Possesses discernment for working with confidential information and tight deadlines
  • Familiar with Microsoft Word, Excel, and Multiple Listing Service
  • Excellent communication skills and organizational skills
  • High school diploma required
  • 1-2 years of experience as an executive assistant or administrative assistant
  • Experience in Real Estate, Mortgage, or Title Industry preferred
  • Advanced Experience in Marketing and Social Media
