Full Job Description

Stearns Weaver Miller, a full-service commercial law firm serving clients throughout Florida, is currently searching for an experienced Real Estate Legal Assistant to join our Tampa Office. This position will assist multiple attorneys in all aspects of real estate acquisition, development, financing, and multi-family and condominium developer documentation. Responsibilities

  • Prepare, review, revise and proof various legal documents and correspondence
    • create and format documents
    • edit and track (i.e. “redline”) documents
  • Assist with pre and post-transaction closing
  • Maintain attorneys’ calendars, schedule, coordinate, and confirm meetings and appointments
  • Maintain attorneys’ client contact information
  • Assist with running conflict checks, opening and closing of client matters
  • Establish and maintain accurate electronic and paper files
  • Ensure that the clients’ billing requirements are correctly set up
  • Input and edit attorneys’ time
  • Perform a variety of administrative functions such as preparing engagement letters, creating and filing expense reports, answering phones, assist in paperless billing and making travel arrangements


Qualifications

  • 3+ years of work experience as a commercial real estate legal secretary in a large firm environment
  • Microsoft Office knowledge with Excel, Outlook and advance knowledge of Word functions
  • Familiarity in using an electronic document management system. Experience in Filesite / iManage is a plus
  • Ability to manage a busy desk for two or three attorneys
  • Ability to understand, edit and proof various documents related to conveyances, acquisitions, leases and financing, using CompareRite or other redlining applications
  • Must pay close attention to detail and be extremely organized
  • Ability to multi-task, meet tight deadlines and adapt to changing priorities
  • Excellent written and oral communication skills
  • High degree of initiative and ability to plan, prioritize and manage multiple tasks
  • Ability to work in a team environment
  • Have a can-do attitude
  • Flexibility to work overtime
