Real Estate Marketing and Transaction Coordinator – Job Description

Position Overview: The MTC position on the team is charged with executing on the administrative and marketing responsibilities required to properly manage each transaction from Consultation to Close. Traditionally, this position was referred to as a Personal Assistant or Executive Assistant but as the importance of effective marketing and social media has increased over the last 5 years, consistent, quality marketing is considered essential to the success of the team; hence the improved position title of Marketing and Transaction Coordinator.

Bachelor’s Degree and Real Estate Sales License Preferred

Listing Presentations and Initial Consultations

  • Organize, prepare and deliver Pre-Listing Presentation to prospect/client prior to presentation as outlined.
  • Prepare Listing Presentation materials and CMA needed by Lead Agent/Assisting Agent to successfully conduct a Listing Presentation.

Marketing and Transaction Coordination – Listings

  • Coordinate the digital signing of all listing agreements, disclosures, buyer agency agreements and other documents required by state and brokerage.
  • Schedule with sellers all photo shoots, staging appointments, and cleaning crews
  • Coordinate all public open houses and broker open houses.
  • Track and route all incoming lead calls and online inquires to Lead Agent.
  • Coordinate the collection of all required information from seller to ensure accurate information is inputted into the MLS.
  • Review all online portals and search engines 24-48 hours for accuracy.
  • Coordinate with local brokerage to make sure all necessary documentation is submitted in a timely fashion.

Transaction Coordination – Buyers

  • Manage and execute on individual transaction timelines for all team transactions and manage transaction timelines from contract to close as outlined.
  • Schedule and confirm property tours with client, listing agent(s) and appropriate member of the team.
  • Produce offers for buyer signature and routed executed contracts to Transaction Partners.

Client Care/Relationship Management

  • Input all information into database
  • Assist Lead Agent with all scheduled monthly touch points
  • Assist Lead Agent with planning and executing all client events.
  • Create annual seller reports

Miscellaneous Responsibilities

  • Assist Lead Agent with Personal Branding/Digital/Social Media Strategy and Process as needed.
  • Assist Lead Agent with Lead Generation Strategy and Process as needed
  • Coordinate the acquisition of business supplies and office equipment
  • Manage referral paperwork for all inbound and outbound referrals
  • Track and file all receipts
