The successful candidate will have the ability to work well under pressure and meet deadlines; attention to detail; strong organizational skills; and impressive communication skills.

Duties and responsibilities include:

  • Managing deadlines for real estate transactions.
  • Communications with buyers/borrowers, sellers, lenders and brokers involved in commercial and residential real estate transactions.
  • Preparing closing documents for commercial and residential real estate purchase/sale transactions
  • Preparing loan documents for commercial real estate loan transactions.
  • Preparing leases for various commercial real estate matters – including ground leases, build to suit leases, office leases and retail shopping center leases.
  • Coordinating closings for real estate transactions.
  • Reviewing title commitments and issuing title insurance policies for commercial and residential real estate transactions.
  • Performing a variety of administrative functions such as preparing engagement letters, entering attorney time and preparing invoices.
  • Filing and retrieving documents from the public records.

Qualifications:

  • Five years’ legal secretary or paralegal experience in real estate practice areas – including experience reviewing and issuing title policies in Florida.
  • Experience in closing commercial real estate transactions is preferable, but not required.
  • Candidates must be extremely detail-oriented and possess excellent organizational and prioritization skills, strong communication, writing and proofreading skills, a good work ethic, and strong interpersonal skills.
  • Self-starter and willingness to work flexible hours.
  • Ability to ask pertinent questions, follow directions, and respond to feedback.
  • The ideal candidate has the ability to be resourceful in addressing issues and requests with limited direction, and can proactively and proficiently carry out recurring work and special projects independently.
  • High level Microsoft Word, Outlook and Excel skills.
