JOB DESCRIPTION

Summary/Objective 

Enhances paralegal/legal assistant effectiveness by providing document management support; providing administrative support, anticipating needs, enhancing client relationships through highly professional communication.

ESSENTIAL FUNCTIONS

  1. Manages documents from a transactional closing.
  2. Packages documents into closing binders for delivery to authorized external sources using technology means such as I-manage share, flash drives, etc.
  3. Organizes proper closing packages into the DMS system. 
  4. Completes title policy issuance closing such as ensuring checks are sent to the title agency and all necessary checklist items are performed.
  5. Primarily directed by the paralegals to support client matter closings but also works directly with the attorneys or legal assistants.
  6. May represent attorney by communicating and obtaining information; or following-up on delegated assignments.
  7. May assist legal assistants in opening new matters or other tasks to support group efficiency and effectiveness. 
  8. Maintains client confidences by keeping attorney/client information confidential.
  9. Updates job knowledge by participating in training; related reading; and through personal networks.
  10. Enhances department and organizational reputation by taking ownership and striving  to exceed expectations. This includes potential changes in responsibilities as needed. 
  11. Clocks in and out daily and at lunch for accurate time records. Also clock in and out if working remotely or after hours. Notify HR of anticipated overtime prior to working additional time, copying the attorney/paralegal  requesting the additional time.

SUPERVISORY RESPONSIBILITY

This position has no supervisory responsibilities.

WORK ENVIRONMENT

This job operates in a professional office environment and requires professionalism, office appropriate attire and a positive attitude toward clients and other employees. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. 

PHYSICAL DEMANDS

This is largely a sedentary role; however, some filing is required. This would require the ability to lift file box up to 30 lbs, open filing cabinets and bend or stand as necessary.

POSITION TYPE/EXPECTED WORK HOURS

This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5:00 p.m.   There may be occasional overtime and assistants are sometimes expected to work beyond 5:00 to finish a project or to help fulfil client obligations.

TRAVEL

Occasionally may need to work in another office, client site or court.  

REQUIRED EDUCATION/EXPERIENCE

  1. High school diploma.
  2. Two years of legal E-Discovery experience.
