Full Job Description

POSITION SUMMARY:

The Real Estate Specialist will primarily focus on assisting the real estate department; responsibilities will include support for a wide variety of development and lease management operations.Assist real estate managers with document management and system management; including updating key dates as it pertains to developmentAssist with the preparation of the monthly Development Committee. Assemble packages, scrub for important information, prepare agenda/minutes, prepare approval letters, and update systems with the approvals.Review and audit statements and invoices from Landlords.Lead the rent paying process by calculating and processing monthly base rent, common area maintenance, and percent rent payments. Calculate and adjust leases due to CPI increases.Run and distribute monthly sales reports.Maintain and update the lease administration system, including inputting new properties and abstracting new leases, updating Landlord contact information, and managing expenses.Track key dates on corporate leases, including renewal dates, expiration dates, purchase options, CPI increases, etc.Assist the Sr. Facilities Manager with corporate surplus properties, by:Tracking code violation compliance dates;Manage communication between Landlord and FM with requests; review lease for complianceBook and coordinate real estate conferences, such as ReCon and other ICSC eventsScreen pre-leads for real estate.Participate in special projects as assigned.Knowledge

  • Excellent verbal and written communication skills with ability to effectively communicate and build relationships with all levels within the organization, and with guests, franchisees, and suppliers.
  • Excellent organizational skills with ability to handle multiple priorities, meet demanding deadlines, adjust to sudden changes in workflow, and maintain high quality standards.
  • Excellent analytical skills with the ability to think independently, take corrective action, and to resolve inquiries and requests for information.
  • Ability to effectively present information and respond to questions from groups of managers, clients, guests and the general public.
  • Ability to maintain all job-related information in a confidential and private manner.
  • Intermediate level skill in Microsoft Excel (for example: using SUM function, setting borders, setting column width, inserting charts, using text wrap, sorting, setting headers and footers and/or print scaling).
  • Intermediate level skill in Microsoft Word (for example: inserting headers, page breaks, page numbers and tables and/or adjusting table columns).
  • Experience with architectural/site plan design, including items such as cost and quality control, material/equipment installation, bidding practices, material and labor costs.

Education

  • High school diploma or general education degree (GED) required, Bachelor’s degree preferred.

Experience

  • High degree of proficiency with Microsoft Office suite and Internet software
  • One to three years of Project Management experience required, with QSR industry and/or Franchising industry experience preferred
  • Direct experience coordinating construction projects preferred, ability to review plans, understand equipment and schedules preferred.

Essential Physical Requirements

  • Ability to read, analyze and interpret written information such as procedure manuals, Company communications or governmental regulations.
  • Ability to frequently use hands to finger, handle or feet.
  • Ability to Travel may be required to attend off-site training, meetings and seminars.
  • Ability to sit for prolonged periods in one location which may be restricted to the employee’s workstation.
  • Ability to lift and/or move up to 25 pounds
