Transaction Coordinator Needed – Real Estate (Saint Petersburg, FL)
Job Description: Please note this is NOT an entry level position. Employment type: full-time
The Transaction Coordinator will assist the Agents with processing listings, contracts and completing the sale.
Goals:
- Outstanding Customer Service to agents and clients.
- Help agents increase their business by managing listing and contract tasks.
- Handle all administrative duties to make sure the listing/transaction process is smooth and efficient.
Position requirements:
- At least two years of transaction coordination experience.
- Excellent verbal and written communication skills, including fluent English grammar, spelling, and
punctuation.
- Excellent organizational and problem solving skills.
- Ability to work in a fast-paced environment.
- Excellent computer and software skills with proficiency in the following: Microsoft Word, Excel, Adobe
Reader/Acrobat, Gmail, Google Calendar, Google Drive.
- MLS listing input and competency of the program.
- Listing and closing coordination.
- Client follow-up.
- Project prioritization.
- Production/goal analysis.
- Goal-oriented with a strong focus on great team spirit and friendly workplace interaction.
- Willing to be trained in any current and new systems that company implements.
- Experience in AppFiles preferred, but not required.
Transaction Coordination duties:
In close coordination with the agent or team maintain consistent communication and information exchange, receive, review, create, manage and complete transaction files and documentation ensuring complete compliance with company policies and procedures to include, but not limited to:
➢ Upload required documents at commencing, throughout, and after transaction is completed.
➢ Review executed contract, addendums, disclosures for accuracy and completion.
➢ Prepare under contract intro e-mail with important dates and deadlines.
➢ Send contract, disclosures and addendums to lender (Buyer Agent). Follow-up with lender throughout
transaction to ensure they have all necessary documentation, verify appraisal has been ordered and accepted,
confirm final loan approval.
➢ Verify earnest money has been received by escrow holding company.
➢ Verify HOA paperwork has been delivered.
➢ Follow-up with Title Company throughout transaction to confirm they have all
necessary paperwork, verify clean title.
➢ Confirm home warranty has been ordered (if applicable).
➢ Provide copies of repair receipts (if applicable).
➢ Obtain utility contact information for buyer.
➢ Verify that final walk-through and closing have been scheduled and notify all parties of date, time, location and
the necessary items to bring.
➢ Review Settlement Statement for accuracy.
➢ Finalize Commission Disbursement Record
➢ Confirm office has received company check and final walk-through form after
closing.
➢ Update Moxi with Buyers or Sellers new address, House-iversary, and Neighborhood
News.
Listing Coordination duties:
In close coordination with the agent or team contact, maintain consistent communication and information exchange, receive, review, and complete new listing files, marketing materials (as specified by agent), and property documentation in accordance with company listing policies and procedures to include, but not limited to:
➢ Upload all listing documents to Appfiles.
➢ Complete compliance tasks.
➢ Send Introduction letter to seller with coordinator role and outline of services.
➢ Coming soon/new listing Facebook campaign.
➢ Posting of Coming Soon/Just Listed announcement to company’s intranet.
➢ Schedule home staging
➢ Send Just Listed emails to clients through Moxi.
➢ Post Open House dates and times in MLS feed
➢ Schedule photography, Matterport, drone
➢ Schedule pre-listing home inspection
➢ Schedule to have for sale sign installed and removed on property
➢ Send Just Listed postcards to surrounding neighbors
➢ Facebook Ad Campaign on Business page
➢ Open House Facebook Event on Business Page
