The Transaction Coordinator is an individual that likes the details and is meticulously organized with days planned out in advance. He/she is deeply committed to completing tasks the right way with a high degree of quality, attention to detail, and consistent communication. The Transaction Coordinator can work alone, yet also enjoys working with others. This person enjoys the opportunity to build, implement, and manage multiple systems with minimal supervision. This person has immense focus yet can shift quickly between tasks when needed.

The Transaction Coordinator manages all the paperwork and deadlines involved in a real estate transaction. They are trained in every step of the selling process and are tasked with monitoring progress from the time the seller accepts an offer through the close of escrow.

  • Helping you move quickly and seamlessly through the escrow and closing process
  • Quickly and efficiently managing any issues that arise with buyers, paperwork or outside parties
  • Acting as a point of contact to address any questions you have throughout the sale

Further the role includes supporting the lead agent in day-to-day sales and marketing activities, scheduling, document preparation, and general administrative tasks.

Responsibilities and Duties

General Activities

  • Receive buyer leads and inquiries. Distribute to agents as directed.
  • Coordinate showing appointments.
  • Prepare marketing and sales documents.
  • Update social media and web presence.
  • Investigate new technology, productivity, and marketing tools.

Listing to Contract Activities

  • Oversee all aspects of sellers transactions from initial contact to executed purchase agreement.
  • Prepare all listing materials: pre-listing presentation, Listing Agreement, sellers’ disclosures, comparative market analysis, pull online property profile, research old multiple listing service (MLS) listings and etc.
  • Consult & coordinate with sellers all property photos, staging, repairs, cleaning, signage, lockbox, access requirements & marketing activities.
  • Obtain all necessary signatures on listing agreement, disclosures and other necessary documentation.
  • Coordinate showings & obtain feedback.
  • Provide proactive weekly feedback to sellers regarding all showings and marketing activities.
  • Coordinate all public open houses and broker open houses.
  • Input all listing information into MLS and marketing websites and update as needed.
  • Submit all necessary documentation to office broker for file compliance.
  • Input all necessary information into client database and transaction management systems.

Contract to Closing

  • Oversee all aspects of buyer & seller transactions from executed purchase agreement to closing.
  • Coordinate title/escrow, mortgage loan and appraisal processes.
  • Coordinate inspections, assist in negotiations regarding repairs, and coordinate completion of repairs.
  • Regularly update & maintain communication with clients, agents, title officer, lender etc.
  • Submit all necessary documentation to office broker for file compliance.
  • Coordinate moving/possession schedules.
  • Schedule, coordinate & attend closing process.
  • Input all client information into client database system.
  • Schedule 30 Day, 90 Day & 120 Day client customer service follow up calls to assist with any home improvement provider recommendations and to ask for referrals.

  • Punctual, reliable and dependable.
  • Proficiency in Word, Excel and Internet skills.
  • Social media, web marketing, and/or design skills are a ++.
