Summary/Objective: The Branch Administrative Assistant provides overall assistance for all activities related to real estate branch office operations.

The Branch Administrative Assistant assists in all Branch level related Agent Services, Management Services and Accounting Services.

The Branch Administrator works closely with office management, staff and real estate agents.

Responsible for welcoming and greeting all customers, staff and sales associates entering the office or on the phone.

Responsible for ensuring a productive office work environment.

Ensures that office management and sales associates are provided with professional and rapid responses to all inquiries and requests.

Technical Capacity

  • Agent Services

Order name badges and business cards for new employees

Assist with computer tasks, problems, printer and copier problems, etc.

Entering information into company software programs

Maintenance of all company, office, and agent licensing with state and other regulatory boards

  • Administrative Services

Friendly and prompt greeting and assistance of all guests, whether in-person or on the phone

Redirect Manager/Broker business (including calls from the general public, other realtors, vendors, etc.) when necessary to be SHARED

Purchase and maintain inventory of all office materials, supplies, forms, etc…

Coordinate office functions and general communication (sales luncheons, award luncheons, etc.)

Back-up Systems Operator and Receptionist

Collect, coordinate, and disseminate office calendar(s)

Assist in providing prompt and friendly service to walk-ins

Distribute all incoming mail

Special projects as assigned by management

General administrative functions to maintain a highly-efficient and productive work flow

  • Accounting Services

Verify terminated Agents in BrokerWolf and DBPR

Month-end (carry out duties assigned on both month-end checklists)

Box Files for storage and record retention on monthly, quarterly, and yearly schedule

Assistance with data entry tasks within accounting and back-office technologies

  • Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to see, talk and hear. This is largely a sedentary role; however, some filing and movement through the office is required. This would require but is not limited to the ability to lift files, open filing cabinets, and maintain office equipment. This job requires good hearing and eye sight for customer communication and computer input.

Dress code is business casual attire. Office/indoor environment

  • Position Type/Expected Hours of Work:

This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5:30 p.m. Occasional evening and weekend work may be required as job duties demand.

High school diploma or equivalent

1-2 years of previous Office and/or Real Estate Office Experience

  • Additional Projects and Tasks as Assigned

Must be proficient in Microsoft Office Suite (Outlook, Word, Publisher, and Excel), have a fundamental understanding of downloading & manipulating digital photos, and must have experience in utilizing an MLS system or inputting data into some type of database system(s).
