THE POSITION
Our growing company is looking for a reliable and organized Administrative Assistant who can manage day-to-day administrative duties to support other office departments and our field team members. The ideal candidate will have a positive attitude and previous reception/customer service experience. A desire to work as efficiently as possible is needed, as well as the ability to work with little to no supervision.
We are excited to welcome an applicant who enjoys working in a fast-paced office environment, managing multiple tasks at once without becoming overwhelmed.
JOB RESPONSIBILITIES
Below is a list of primary responsibilities an Administrative Assistant would expect in their day-to-day. - Serve as a brand ambassador and provide excellent customer service or support to guests, visitors, vendors and/or employees who arrive in the office or call our main phone number
- Retrieve, sort and distribute mail to the appropriate office departments
- Act as the front line for office technical support, investigating and resolving printer, Internet or phone issues
- Support the new hire and separations processes (in connection with HR) to order, pick up and ship business cards, create, communicate or delete company Office 365 credentials, ship company dress code items, equipment and miscellaneous items and maintain ownership of our internal equipment tracker
- Provide timely assistance to the CEO, COO and CFO as needed, such as creating, editing, copying documents, or scheduling virtual Chime meetings
- Maintain inventory and order office supplies when needed
- Organize and set up new work stations for newly-hired office employees, as needed
THE LOCATION
The Office Assistant position will work from our office in Tampa.
ARE YOU WHO WE’RE LOOKING FOR?
The ideal candidate should have the following minimum required qualifications:
- MUST have 2+ years experience in an administrative capacity
- MUST be proficient with computers, landlines, mobile phones, Microsoft Office (Outlook, Excel) and SharePoint
- MUST have high attention to details and an ability to notice and correct inconsistencies
- MUST strive to work in an organized manner while also showcasing an ability to prioritize
- MUST have a high school diploma
- MUST have dependable transportation and a valid drivers’ license
- Experience in a construction environment, or willingness to learn the industry
SCHEDULE AND PAY SCHEDULE
The Administrative Assistant is a full-time salary exempt position. Work days will be scheduled for Monday through Friday, 9am to 5:30pm in addition to on-call weekend shifts for operations support requests.
GEBM operates on a weekly pay schedule and adheres to all local and federal tax policies.
