Receptionist / Administrative Assistant

Position Location:
Offered at Integrity Financial Services’ (“IFS”) Home Office in Largo, FL.
Position Summary:
Responsible for providing a high level of customer support/service answering the main corporate phone lines & through face to face client interactions when appointments occur at the office. Position requires a professional, positive, and assertive attitude with each client interaction while being able to manage multiple calls & job duties.
Role involves face to face client interaction as mentioned when appointments are schedule at our offices. Therefore, responsible for setting a positive tone while clients are in waiting area ensuring their wait will be minimal & making them feel welcome and valued.
Able to multitask during slow call volume (off peak) by working on data entry, clerical functions assisting closing manager and/or owners as needed, requested, and or required.
General Duties & Responsibilities:
- Answering & directing phone calls to appropriate team members with the ability to screen calls and to handle solicitation calls up front.
- Greeting clients as they come in for appointments, making them feel welcomed, comfortable & valued while ensuring their wait time will be minimal.
- Maintain office appearance and overall cleanliness in top order several times throughout the day.
- Able to input general data and multitask these functions while answering calls.
- The ability to work with out side vendors, using negotiating skills to get the best price for events and services/supplies
- To be able to assist tenants in the complex with property issues and maintenance of those units needs.
- Multitasking
- Research, compile data, create and edit high quality confidential documents as needed and as directed by closing manager &/or owners.
- Assist Closing Manager with the managing of schedules and business needs, as needed.
- Receive, sort, and facilitate mail and information to appropriate employee.
- Order/maintain office supplies for Company as needed in coordination with Closing Manager.
- Support other staff members as needed. Able to work on a Team Environment and atmosphere!
- Responsible for adhering to all company policies and procedures while maintaining confidentiality including: Copying, sending/receiving & distributing emails, sort, distribute and respond to mail, send certified mail; greet visitors, answer phones, set up an maintain file system, overnight mail, and process work, etc.
Minimum Qualifications / Education/Licensing/Certification:
High School Diploma or equivalent
College Associates Degree or higher a PLUS – not necessary
Experience:
A minimum of two (2) years’ experience as a receptionist or executive assistant
Working knowledge of Microsoft Office Suite.
Must have strong organizational skills & be able to prioritize daily duties in order of importance. With the ability to except and flow with office needs that change during any given day.
Effective oral and written communication skills.
Experience managing multiple priorities – MULTITASK.
Hours and Work Schedule:
Work Schedule: Part – Time Preferred 9AM – 2PM or 12:30PM to 5:30PM
*Full Time Considered for the right candidate*
Hourly Range: $12 – $15 based on experience
