General Description

This is an hourly non-exempt clerical position on the staff of Senior Connection Center responsible for serving all visitors and guests in person or on the telephone by greeting, welcoming and directing the visitors and guests appropriately and provides administrative support to various departments within the Agency as may be required.

Responsibilities

  • Welcomes and directs all visitors and guests of the Agency by greeting them in person or on the telephone in a warm, professional and helpful manner.
  • Routes all telephone calls and other communications as is appropriate.
  • Ensures multi-line telephone coverage utilizing administrative support staff as back up.
  • Maintains clean and organized reception area.
  • Provides administrative support to various departments within the Agency as needed.
  • Assists other Agency personnel, including administrative support staff, with administrative functions as may be required including Federal Express, mass mail projects, sorting, filing, etc.
  • Prepares reports, articles, spreadsheets, newsletters, manuals and other materials as may be assigned.
  • Logs and distributes all fax communications received in the Agency.
  • Opens, applies date stamp and distributes all incoming mail; logs certified mail.
  • Opens and logs all checks and cash, distributes in accordance with Fiscal Policies and Procedures.
  • Responsible for maintenance, ordering, and sorting of office supplies and inventory.
  • Serves as liaison to Property Management Service Department as requested by Supervisor.
  • Other duties as may be assigned.

Minimum Training and Experience

  • Graduation from a high school with a minimum of two (2) years of experience as a receptionist.
  • An equivalency diploma issued by a State Department of Education or by the United States Armed Forces Institute may be substituted for high school graduation.
  • Successful completion of applicable background screening required.
  • The President and CEO must approve any exceptions to the minimum requirements.

Required Skills and Knowledge

  • Able to relate positively and respectfully to older individuals, the general public, community officials, and Agency staff.
  • Computer literate.
  • Intermediate Microsoft Word and Excel skills.
  • Able to type 55 words per minute, accurately.
  • Possesses the ability to communicate effectively and concisely when preparing correspondence.
  • Requires basic knowledge of English composition and grammatical rules.
  • Must be able to proofread documents with careful attention to detail for spelling, typographical errors, and grammar.
  • Able to set priorities, meet deadlines and organize tasks effectively
  • Must be detail oriented, self-motivated, with the ability to work with minimal direction.
  • Must be able to multitask effectively and efficiently to ensure deadlines are met.

  • Ability to work under stressful situations
  • Pleasant and clearly understandable telephone voice
  • Ability to lift and carry at least 10 pounds
  • Ability to operate a computer and other office equipment
  • Ability to sit at a desk for more than one hour at a time
  • Ability to bend and stoop in order to file and shelve
