SUMMARY

  • Perform essential front desk operations, answering phones, directing calls and greeting visitors for busy law firm.
  • Support Legal Assistants & Attorneys with faxes, mail, answering phones, and other day-to-day operations.
  • Support Office Manager with processing monthly billing statements and organizing expenses.

RECEPTIONIST DUTIES

  • Operate a multi-line computer switchboard to answer, screen, transfer all incoming calls and retrieve all necessary information to assist clients.
  • Greet all visitors entering the office and guide them to their appropriate location.
  • Receive all incoming mail deliveries from USPS, FEDEX & UPS. Open, organize and provide all incoming mail to the proper recipient.
  • Ensure front desk is occupied at all times for possible phone calls/visitors.
  • Responsible for all incoming/outgoing faxes.

ADMINISTRATIVE SUPPORT

  • Organize all incoming expenses and submit to the appropriate recipient.
  • Input data into database program for monthly invoice processing.
  • Processing monthly billing statements.
  • Assist with special projects required by the attorney or office manager.

EDUCATION & EXPERIENCE

  • Minimum High School Diploma or equivalent.
  • 1-2 years experience in an office environment; Legal office a plus.
  • 1-2 years experience answering phones and greeting visitors
  • Experience with Microsoft office required.
  • Notary Certificate a plus.

KNOWLEDGE, SKILLS & ABILITIES

  • Experience with a multi-line phone system require.
  • Experience with a VoIP phone system a plus
  • Must have a thorough knowledge of office equipment and computer systems.
  • Proficiency with Outlook, Word & Excel is required.
  • Experience with Florida E-portal is a plus.
