SUMMARY
- Perform essential front desk operations, answering phones, directing calls and greeting visitors for busy law firm.
- Support Legal Assistants & Attorneys with faxes, mail, answering phones, and other day-to-day operations.
- Support Office Manager with processing monthly billing statements and organizing expenses.
RECEPTIONIST DUTIES
- Operate a multi-line computer switchboard to answer, screen, transfer all incoming calls and retrieve all necessary information to assist clients.
- Greet all visitors entering the office and guide them to their appropriate location.
- Receive all incoming mail deliveries from USPS, FEDEX & UPS. Open, organize and provide all incoming mail to the proper recipient.
- Ensure front desk is occupied at all times for possible phone calls/visitors.
- Responsible for all incoming/outgoing faxes.
ADMINISTRATIVE SUPPORT
- Organize all incoming expenses and submit to the appropriate recipient.
- Input data into database program for monthly invoice processing.
- Processing monthly billing statements.
- Assist with special projects required by the attorney or office manager.
EDUCATION & EXPERIENCE
- Minimum High School Diploma or equivalent.
- 1-2 years experience in an office environment; Legal office a plus.
- 1-2 years experience answering phones and greeting visitors
- Experience with Microsoft office required.
- Notary Certificate a plus.
KNOWLEDGE, SKILLS & ABILITIES
- Experience with a multi-line phone system require.
- Experience with a VoIP phone system a plus
- Must have a thorough knowledge of office equipment and computer systems.
- Proficiency with Outlook, Word & Excel is required.
- Experience with Florida E-portal is a plus.
