Description

  • Provide updates to Office Manager on Home Office Handbook on a quarterly basis.
  • Answer phones and transfer calls to the appropriate employees.
  • Retrieves and responds to messages left in company voicemail box daily.
  • Greet and assist visitors with visitor badges or escort them to an office or meeting room.
  • Order refreshments for reception and breakrooms and other items as needed.
  • Maintain a pleasant appearance of the reception area, lobby, 2 adjacent kitchens, boardroom and conference rooms
  • Manage Security Badge Access process, and assign / maintain access for new employees
  • Other projects as assigned
  • Reception Coverage Monday-Friday 8:00am-5:00pm.
  • Have coffee prepared and available in reception kitchen by 8:30am.
  • Maintain phone list according to new, transferred or terminated team members.
  • Participate in emergency coordinator meetings, serve as proxy as needed.
  • Support Office Manager with request for building maintenance as needed.
  • Cross train on Mailroom duties for backup coverage as needed.
  • Accurately process and reconcile FedEx invoices in the Works system

Education:

High School Diploma required; some college strongly preferred.

Experience/Skills:

  • 3+ years experience working in a front office/reception area for a medium to large-sized organization, required.
  • Strong written and verbal communication and organizational skills with attention to detail and follow up.
  • Ability to prioritize and complete multiple tasks and work well under pressure in a fast paced environment.
  • Self- starter with ability to adapt and interact professionally with all levels of management.
  • Strong customer service.

  • Strong ability to self manage.
  • Strong interpersonal skills.
  • Strong Microsoft Office skills including Word, Excel, PowerPoint, Outlook, and Visio required.
