We are looking for an outgoing person to join our team of real estate professionals. This persons primary role will be to answer telephones, take rental reservations, do property inspections, greet visitors, send and receive email and correspondences. As a Reservationist, you will be the first point of contact for our company, a positive attitude and friendly disposition is a must. To be successful in this position, you should have a pleasant personality, up beat attitude, and be a team player, as this is also a customer service role. You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role may require working in shifts, so flexibility is a plus. Ultimately, a Reservationist’s duties and responsibilities are to ensure the office welcomes guests positively and professionally both in person and via phone and email. This person also executes all administrative tasks to the highest quality standards.

Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Take reservations and answer questions related to bookings
  • Answer, screen, and forward incoming phone calls
  • Ensure public spaces are tidy and presentable, with all necessary material
  • Provide basic and accurate information in-person and via phone/email to guests, owners, and other staff members
  • Perform Property Inspections
  • Receive, sort and distribute daily mail/deliveries
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

Skills

  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Answer phones and proactively communicate in a professional manner with our guests, owners, housekeeping team, maintenance team via email, phone, and in person
  • Professional attitude and tidy appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • Inspectors will be on their feet and taking a hands-on approach to work (move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance).walk up and down stairs, light cleaning may be involved with attention to detail
  • Able to work with a sense of urgency
  • High school degree; additional certification in Office Management is a plus
  • Reliable Vehicle Required
