Job Description
Receptionist:

  • Answer phones, forward calls
  • Take messages and email to staff
  • Repeat name and number back to caller
  • Screen all calls
  • Greet anyone that comes in the door and handle their needs accordingly Data Entry

· Post credit card receipts in Projects and QuickBooks daily.

Accounts Payable

· Post all Accounts Payable Invoices Weekly.

· Mail Accounts Payable payments daily. All checks must be date stamped with the mailing date.

· File paid invoices at reception area.

· Handle A/P calls and provide payment information to vendors via email. If a vendor calls, we will usually mail their payment the next day.

General Office

· Prepare all mailings daily

· Scan closed job filing and save it on the Server.

· File open job filing in green folders.

· File in Accounting Fire Proof Filing Cabinet

· Empty all employee / bathroom trash cans daily. Make coffee and clean pot.

· Fill hand soap in bathrooms, stock paper towels and toilet paper as needed.

· Water plants

· Keep coffee station and receptionist area clean.

· Assist in warehouse if needed

· Provide assistance to all office staff.

· Order office supplies and put away.

· Run misc. errands for office (mileage is reimbursed).
