The Receptionist is responsible for providing secretarial support services to Administrator and other managers as designated; responsible for handling incoming telephone calls and greeting visitors.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Operate telephone switchboard to answer, screen and forward calls, providing information, taking messages and scheduling appointments.
Greet persons entering facility, determine nature and purpose of visit, and direct or escort them to specific destinations.
Keep a current record of staff members’ whereabouts and availability.
Provide information about facility such as location of departments or offices, employees within the organization, or services provided.
Maintains a room list of residents in the facility.
Inputs census accurately from prior day for all facilities; prepares and distributes daily census reports to appropriate personnel on time.
Inputs agency hours accurately from prior day for all facilities; prepares and distributes weekly agency reports to appropriate personnel on time.
Accurately prepares and distributes monthly census roll ups to appropriate personnel on time.
Accurately gathers/analyzes data from facility E2I data and labor reports; prepares and distributes a weekly summary report to appropriate personnel by Thursday of each week.
Retrieves Quality Indicator reports from the State MDS database when notified of survey or in advance of QV (mock survey) when required.
Open, sort, and distribute incoming correspondence, including faxes and email.
Prepares letters, memos, minutes, notices, etc. as requested
Prepares and delivers outgoing mail daily.
Addresses and stamps mailings as requested.
Prepares and ships mail to regional field staff twice/week.
Receive packages from overnight delivery services (i.e., UPS, Federal Express, DHL/Airborne, etc.) and promptly delivers to addressee.
Prepares and ships packages for overnight delivery using proper billing methods.
Keeps and maintains weekly schedules for all staff and updates as needed.
Complies with laws and regulations applicable to position and act in accordance with the company’s Corporate Compliance Program.
Attends and participates in in-service training, performance improvement (“PI”) committees and other meetings as scheduled and directed.
Orders office supplies on a monthly basis; maintains adequate stock of inventory and
accounts payable.
