Provides general office support with a variety of clerical activities and related tasks. Responsible for managing reception desk, answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.

Receptionist Responsibilities:

  • Ensure reception desk is manned and main telephone line has coverage at all times during business hours; takes and retrieves messages for various personnel
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information
  • Greets and directs visitors to the company
  • Completes daily shipping and receiving tasks including preparing shipping labels, posting outgoing mail, receiving and distributing mail and packages, creating return shipping labels/boxes (FedEx, UPS, etc.)
  • Maintains office supplies including ordering, receiving, stocking and distribution
  • Responsible for scheduling conference room
  • Maintains a neat and orderly space in lobby, conference room, and workstation
  • Assists with other related clerical duties such a photocopying, faxing, filing and collating
  • Stocks breakroom and cleans out coffee pots daily
  • Maintain receipts and reconcile main purchasing & AMEX monthly statements; codes invoices to be charged to correct branch/department.
  • Assists Marketing Manager, Assistants, Event Planner or others as needed with overflow work and various tasks including but not limited to data entry, assembling promo items, etc.

  • Quick learner and easily adaptable to frequent changes in workload; strong time management skills
  • Demonstrates good judgement and is able to make appropriate job decisions following standard office policies and past precedents
  • Highly organized, efficient, detail-oriented professional with ability to juggle multiple projects simultaneously in a fast-paced and ever-changing environment without a loss in quality.
  • Displays ability to effectively communicate information and ideas
  • Must maintain cooperative and harmonious working relationships with other staff members

Receptionist Job Specifications:

  • High School diploma
  • 1 year of administrative experience
  • Software competence including MS word, Excel, PowerPoint, Outlook and internet
