Straz Center for the Performing Arts

Position Summary:

The Risk Management Specialist will take a proactive role as a leader in coordinating enterprise risk management, risk identification, and risk mitigation across the Straz Center organization, and supporting the Controller, CAFO, COO and Director of IT in these areas.

Primary Responsibilities:

  • Implement policies and coordinate trainings that help reduce the Straz Center’s overall risk, and to help manage the costs associated with that risk (i.e. work toward reducing the Workers Comp (WC) modification rate, which has a significant financial impact on WC premiums assessed, etc.)
  • Manage and complete the annual renewal application process for the Straz Center’s operating insurance policies and lines as outlined on Attachment 1
  • Partner with our commercial insurance broker as the main interface between the broker and the Center, and coordinate related activities
  • Partner with the City of Tampa’s Risk Management Department to advocate for the Center on buildings and contents coverage provided by the City (to determine if the City is underinsuring the Center), and on claims at the Center which fall within the City’s insurance coverage purview
  • Manage and request needed certificates of insurance (COI’s), including evidence of coverages, additional insured status, loss payee status (evidence of property insurance) for equipment leases and for rentals of production sound and lighting equipment, as well as sets/scenery/props (opera and ballet)

    • Community partners (Tampa Downtown Partnership, Tampa Prep, USF, HCC, Conservatory partners)
    • Partner with the Dance department on their annual NGB Summer Intensive ballet audition tour stops insurance needs (approx. 25 cities throughout the U.S.)
  • Partner with all departments on all manner of risk challenges, concerns, questions, and issues, including the reduction and mitigations of all enterprise risk ‘human, property, and financial risk
    • Propose possible solutions/programs/protocols for minimizing risk and liability
    • Investigate & assess potential risks for assigned projects
    • Monitor operations to ensure compliance with all insurance and associated legal obligations
    • Demonstrate thorough and fair practices in all investigations and inquiries
    • Assist in the preparation & presentation of comprehensive risk assessment reports
    • Partner with Security and Operations to help mitigate all physical security risks, including Active Shooter and intruder scenarios, armed responses by Tampa PD and potentially an armed Straz Security team, and review building access systems from a risk mitigation perspective
    • Work with our broker to assess & mitigate risk for higher-exposure activities such as aerial classes during the Thespian Festival, “trust falls” & aerials during shows, actors on stilts, animals onsite, outside food vendors onsite, expansion of operations which result in greater interaction with the general public (i.e. F&B expansions), expansion of Conservatory programs, etc.
  • Lawsuits and Insurance Claims: work with departments, our broker, insurance carriers, and insurance adjusters on active insurance claims and related attorney demand letters; provide needed documentation and other feedback, including photographs and security video footage, where appropriate
  • Worker’s Compensation Insurance:
    • Work with our Workers’ Comp carrier’s safety mitigation team, CAFO, COO, H/R, Operations, and Facilities to review all safety considerations at the Center, and help reduce injuries, claims, and the resultant WC experience modification & premiums
    • Manage the annual Workers’ Compensation audit with the WC carrier’s auditor; work with the Payroll Administrator in preparation of the audit
    • Review quarterly Workers’ Comp loss runs with the CAFO, Director of H/R, and Workers Comp broker, and discuss results, trends, challenges, solutions and resolutions
    • Work with H/R on specific Workers’ Comp claims and related resolutions and settlements
  • Partner with CAFO and Director of H/R on mitigating risk specifically relating to employee legal actions against the Center, including wage and hour, labor, and compensation claims and disputes
  • Integral member of the Safety Committee

         IT/Information Systems:

    • Serve as a member of the Data Security Team providing input on compliancy and regulatory efforts such as PCI and GDPR
    • Partner with IT in the annual IT risk assessment while providing input on the remediation plan and appropriateness of the timeline
    • Partner with IT to help manage document destruction efforts, working to ensure organizational confidentiality & privacy protection
    • Review and provide feedback on business continuity plans
    • Develop, implement and maintain appropriate policies and procedures as it relates to cyber & other risk and its avoidance
  • Review risk clauses in contracts/agreements and provide appropriate feedback
  • Update the various hold-harmless, indemnification, and insurance contract exhibits and waivers used by the Center; partner with departments on the usage of these documents
  • Review and analyze all Incident Reports to determine causes, patterns, and areas of risk mitigation, and provide appropriate feedback to departments, brokers and carriers
  • Manage the private Unemployment Insurance vendor relationship; work with H/R on exceptions in their processing of UI claims with First Nonprofit/Equifax
  • Manage the Approved Drivers List and working with H/R on required DMV background screenings; updating the list regularly and communicating this list out to interested parties internally and externally to our broker/carriers
  • Review Capital Appropriation Requests (CARs) from a risk mitigation perspective, when appropriate
  • Work with outside vendors on our insurance requirements
  • Other Duties as Assigned
