Salary Range: $26,391.66 To $42,201.15 Annually

Summary 

Under general supervision plan, organize and coordinate office activities and communications to support department/location to carry out routine administrative duties as assigned. Provide responsive and efficient customer service. May also be required to meet with residents, applicants, participants and/or Landlords to provide general information or other Customer Service related functions. Maintain files, tracks incoming, and handles confidential documents appropriately. 

Essential Job Functions Coordinate office services and assist supervisor with administrative functions 

  • Coordinate meetings by reserving meeting room, preparing agenda and related documents, and notify participants scheduled to attend meeting
  • Prepare letters and reports in accordance with established procedures 
  • Receive calls and inquiries from residents, staff, and individuals outside the authority and  respond to or refer calls to appropriate staff 
  • Schedule grievance and Section 8 hearings, sends decisions notices following hearing 
  • Screen mail and calls.
  • Maintain files in accordance with established procedures
  • Review Fraud hotline reports and assist in fraud investigation when necessary 
  • Create repayment agreements as needed 
  • Receive checks from clients on repayment agreements and submit checks to the accounting department 

Support department functions as needed

  • Prepare periodic and special reports as needed
  • Conduct research in order to obtain information to respond to questions and prepare reports
  • Assist Department offices, as needed for special projects or to fill in for someone who is out for a  period of time
  • Coordinate routine and special functions, such as purchases of office supplies, equipment, and other items, coordinating services from outside vendors and contractors, etc., by communicating with outside vendors and individuals within the organization  

Minimum Qualifications 

  • Requires High School graduation or GED equivalent. 
  • Requires three (3) years of progressively responsible experience in an office environment which required computer proficiency; or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities. 
  • Proficiency in Microsoft Office preferred.  
  • Requires Notary Public certification within one (1) month of hire. 
  • Valid Florida Driver’s License
  • Insurable under the agency’s insurance policy
