Position Summary:  This position supports the effective and efficient operations of the Security Department by performing general administrative duties for the Chief of Security and Security Officers.

Primary Duties and Responsibilities: 

  • Performs various functions for the Chief of Security, requiring both general and specific knowledge of the Straz Center’s activities and current events.
  • Receives and distributes incoming and outgoing mail for the Chief of Security.
  • Maintains billing/ invoices and other budgetary task.
  • Work with scheduling and invoices software platforms.
  • Helps maintain calendar and schedule appointments for the Chief of Security.
  • Assists Chief of Security with scheduling, coordination of meetings, and related logistics; prepares meeting notices, agendas, minutes, and related materials as needed.
  • With direction from the Chief of Security, organizes and implements department mailings.  Includes processing letters, coordinating delivery of printed collateral pieces, coordination of volunteers when needed, ensuring appropriate supplies and compliance with mailroom regulations and requirements.  Maintains comprehensive annual schedule of department communications to meet deadlines and document results.
  • Provides administrative assistance as needed for cultivation and special events, such as maintaining invitation and RSVP lists, generating nametags, etc.
  • Serves as recording secretary and maintains permanent records as required.
  • Ensures efficient administration of the Security Department by monitoring and ordering office supplies as needed. Keeps supplies and storage room organized; checks stock regularly.
  • Reviews and updates Conservatory Security SOPs annually or as needed.
  • Other duties as assigned

Minimum Qualifications (Knowledge, Skills, and Abilities):

  • Self-motivated with strong administrative and organizational skills, along with close attention to detail and demonstrated success maintaining accurate records.
  • People-oriented with outstanding interpersonal skills.
  • Excellent communication skills, both verbal and written.  Excellent telephone manner is essential.
  • Ability to work with tact and diplomacy; adept at dealing with people from different backgrounds.
  • Demonstrate a high degree of professionalism while maintaining confidentiality.
  • Knowledge of the Microsoft suite of business applications, including Word, Excel, Outlook and PowerPoint.  Knowledge of desktop publishing and fundraising software a plus.
  • Availability to work special events and receptions (some evenings).

Education and Work Experience: 

  • High school diploma.
  • Three years’ experience as an administrative assistant.
  • One-year security background preferred.

Supervisory Responsibilities:

This position does not contain supervisory responsibilities.
