ADMINISTRATIVE ASSISTANCE – TAMPA OFFICE

We are a leading provider of consulting services that enhance the infrastructure and environment throughout Florida. We value passion, respect, growth, hard work, and teamwork. We employ highly skilled professionals who include engineers, scientists, and technicians. With offices located in Tampa and Maitland, we serve many Florida Department of Transportation Districts and municipalities throughout the region. We have Service Groups that are focused on Highway & Drainage, Traffic, and Environmental services in the transportation design industry.

Description

Full time position available in the Tampa Corporate Office. The ideal candidate will have the ability to perform project administration, office operations, and Marketing and production support. They will be detail-oriented, organized, self-motivated, and able to work in a team environment. The candidate will have strong written and verbal interpersonal communication skills. They will be able to multi-task while possessing a can-do, positive attitude. The ideal candidate will possess strong problem-solving and analytical skills and be able to prioritize tasks and duties.

Essential Duties and Responsibilities:

Office Operations

  • Create and maintain project files
  • Process daily mail and overnight shipments
  • Create and maintain company and conference room calendars
  • Document scanning, digital filing and copying
  • Order and inventory office supplies
  • Order food for corporate meetings
  • Assist with travel arrangements, conference and seminar registrations
  • Coordinate vehicle/truck maintenance and rental vehicles

Production / Marketing Support

  • Project initiation, support and close out
  • Support Environmental department with billing and scheduling
  • Support other departments with project submittals
  • Support and work with Marketing Manager

Software Requirements:

  • Proficient/Expert in Microsoft Applications, including Excel, Outlook, Word
  • Proficient with Adobe Creative Cloud applications and database management (FileMaker Pro preferred)

Education RequirementsAA Degree desired

Work Experience: Minimum of 5 years administrative assistant experience
