The ideal candidate should be broadly experienced in advanced document production, a wide range of administrative support related tasks, and able to work independently with little supervision. Responsibilities include production of proposals, reports, and related documents; creating, organizing, and maintaining records and data files; maintaining appointment calendars; coordinating travel arrangements; composing and responding to correspondence and emails; assisting with invoicing generation and accounts receivables; and other administrative duties.

Duties & Responsibilities: 

  1. Work with project manager in preparing correspondence, complex reports, spreadsheets, proposals, and other documentation.
  2. Capable in prioritizing workloads, multitasking, and paying close attention to details.
  3. Possesses solid calendar management skills related to scheduling meetings, conferences, reserving facilities and equipment (at times for large numbers of participants), while balancing conflicting priorities.
  4. Track expenses and prepare expense reports with supporting accurate documentation.
  5. Maintain and order office supplies as needed.
  6. Oversee fleet vehicle mileage logs and maintenance.
  7. Coordinate office vendor services when needed. 

Education & Experience:

  • An associate’s degree or equivalent experience
  • Minimum of 5-7 years of Administrative/business experience

  • Solid computer skills required (MS Office – particularly Word, PowerPoint, Outlook, and Excel).
  • Strong command of English grammar and technical writing/editing capabilities.

  • Capable of managing work flows in a fast-paced/dynamic environment.
