The ideal candidate should be broadly experienced in advanced document production, a wide range of administrative support related tasks, and able to work independently with little supervision. Responsibilities include production of proposals, reports, and related documents; creating, organizing, and maintaining records and data files; maintaining appointment calendars; coordinating travel arrangements; composing and responding to correspondence and emails; assisting with invoicing generation and accounts receivables; and other administrative duties.
Duties & Responsibilities:
- Work with project manager in preparing correspondence, complex reports, spreadsheets, proposals, and other documentation.
- Capable in prioritizing workloads, multitasking, and paying close attention to details.
- Possesses solid calendar management skills related to scheduling meetings, conferences, reserving facilities and equipment (at times for large numbers of participants), while balancing conflicting priorities.
- Track expenses and prepare expense reports with supporting accurate documentation.
- Maintain and order office supplies as needed.
- Oversee fleet vehicle mileage logs and maintenance.
- Coordinate office vendor services when needed.
Education & Experience:
- An associate’s degree or equivalent experience
- Minimum of 5-7 years of Administrative/business experience
