Job Description Summary
Responsible to work with the Property Manager (PM) in the management of a property (or group of properties) in accordance with the terms of the property’s management agreement. Demonstrate regular use of judgment and discretion to solve problems and/or resolve issues, serve as tenant liaison in the building(s), and maintain a high level of tenant satisfaction. Scope of authority and duties are dependent on the type, size, and complexity of the building(s) managed.

Responsibilities
- Execute all areas defined as part of the Property Manager job description, in the absence of the Property Manager
- May directly and/or indirectly supervise individuals, building staff, and other vendors relied upon to manage the building(s)
- Manage the preparation of and give approval on accurate tenant billings
- Under the direction of Property Manager, follow up on all delinquencies, utilizing Cushman & Wakefield or client-directed policies
- Obtain aging report for Property Manager and deliver standard correspondence to address tenant delinquencies
- Prepare portions of the monthly financial reports
- Code and submit property invoices
- Prepare aspects of annual budget document; to include preparation operating expense reconciliations
- Regularly inspect tenant space, common areas, base building areas and grounds to ensure a high level of maintenance, regularly interfacing with internal staff and vendors to maintain highest standards
- Participate in the performance oversight of all service contractors who perform building services
- Recommend and/or authorize vendor contracts as appropriate
- Document and prepare the monthly Certificates of Insurance report summary
- Ensure Tenant Handbook is maintained; oversee distribution of handbook to new tenants
- Develop and maintain aspects of the comprehensive Tenant Service package
- Prepare lease abstracts for new tenant files
- Prepare monthly rent roll for Property Manager’s review
- Oversee tenant requests for work orders, to include obtaining estimates, providing proposals, submitting work orders, and invoicing tenants
- Coordinate with the building technician and/or direct vendors as appropriate
- Coordinate tenant events, Fire/Life Safety procedures, and move-ins/move-outs
- Ensure all property files are prepared and maintained in orderly and logical manner, including leases and contracts
Requirements
- Bachelor Degree in Business Administration or related discipline
- 1+ years of real estate property management or related experience
- Or any similar combination of education and experience
- Ability to pursue RPA or CPM professional designation(s)
- Working knowledge and understanding of lease terms, operating costs, and budgeting and related
- Proficiency in Microsoft Office Suite
- Basic understanding of computer software programs and base building systems
- Basic understanding of the reconciliation process for CAM, insurance, and real estate taxes
- Demonstrated initiative and sense of urgency in daily duties by meeting or improving upon deadlines
- Proven record of providing excellent internal and external customer service
- Excellent oral and written communications skills
- Ability to work independently and as a productive member of a team
- The qualified candidate will be detail oriented, able to handle multiple projects simultaneously, extremely professional, and customer service oriented
Physical Requirements
- Involves work of a general office nature; typically includes extended periods of sitting and/or operation of a computer for up to 8 hours a day
- May involve periods of standing, such as operating at a copier/fax/scanner
- Involves movement between departments, floors, and properties to facilitate work
- Involves work such as conducting tours throughout the property/portfolio, usually performed by walking and/or climbing stairs
- Regularly required to talk, hear, and use hands and fingers to write and type
- Ability to read and understand information and ideas presented orally and in writing
- Ability to communicate information and ideas in writing and orally so others will understand
- Regularly required to utilize vision abilities, allowing reading of printed material, graphics, computer displays and physical inspection of properties and sites
