Senior Executive Assistant
Looking for an Executive Assistant who can help CEO with a series of interrelated companies that are experiencing rapid growth.
Key Duties / Responsibilities:
- Follow up with key personnel and KPI’s.
- Primary research on new opportunities and vendors.
- Provide key insight and critical thinking with executive on direction of company.
- Help executive move away from day-to-day operations and focus on growth of the company.
- Provide high-level administrative support.
Skills / Requirements / Qualifications:
- Follow-up – Following up with employees and clients of tasks extended from CEO.
- Independent Research – The ability to research various business ventures at the direction of CEO and then work independently to achieve the desired results.
- Compile summaries – Summaries of research and business ventures and then present to the Executive the key points of each those findings.
- Strategic Thinking – The ability to streamline and forecast the current needs of business as well as those of the future.
- Critical Thinking – Understanding the implications of new information for both current and future problem solving and decision-making.
- Continuously Monitoring/Assessing overall Structure – Of the Business, yourself, and your peers to make improvements or take corrective action.
- Time Management – Managing one’s own time and the time of others.
- Service Orientation – Proactively looking for ways to help the Executive, clients and coworkers.
- Coordination between the Executive and clients – Work as the liaison between clients and Exec. Help to facilitate meetings, prepare presentations and be the point of contact for clients to reach out to free up Executives’ time.
- Energetic Personality – Be the face of the business, will involve a high level of speaking with clients, vendors and other executives. Need to be professional, poised and courteous. Build a rapport with the clients. This role is heavy is relationship management.
*This EA role is not heavy on calendar management, or event planning, it is more of an interactive role and lots of communication with CEO.
Other Important Duties / Responsibilities:
- Prepare work proposals, reports, and financial statements using Microsoft Office suite of products and company software.
- Help with maintaining and updating CRM software.
- Help to facilitate weekly meetings, keep notes and running agendas week to week.
- Expect to receive over 50 emails a day to sort, respond to and address as needed.
- Manage all follow up’s for Executive, whether that be reminders to reach out to clients, send proposals, follow-up emails etc.
- Keep running To-Do Lists of various items.
- Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
- File and retrieve corporate documents, records, and reports.
- Help to onboard new employees.
- Train and supervise lower-level clerical staff.
- Open, sort, and distribute incoming correspondence, including physical mail
- Make travel arrangements for executives (if needed)
Other Job Factors:
- This job requires more than 40 hours a week depending on various deadlines and special projects.
- This job is fast paced and requires someone who thrives on autonomy and does not require a lot of direction.
- Executive likes to plan for the week on Saturday mornings(1hr)- may require weekend work.
- This job will be a hybrid of in office and remote. Will follow a 2 day in office/3-day remote schedule. MUST LIVE IN TAMPA.

Job Type: Full-time
Pay: $65,000.00 – $75,000.00 per year

- Tampa, FL: Reliably commute or planning to relocate before starting work (Required)
Experience:
- Microsoft Office: 3 years (Required)
