Senior Executive Assistant
Executive Assistant who can assist the executive with a series of interrelated companies that are experiencing rapid growth.

Key Duties and Responsibilities:

  • Follow up with internal and external requests made by executive.
  • Heavy project management for each interrelated business venture.
  • Assist in the hiring process, vetting candidates and phone screens and interviews.
  • Provide high-level administrative support.

Skills / Requirements / Qualifications:

  • Follow-up – following up with employees and stakeholders of tasks extended from the executive.
  • Compile Reports – summaries of business ventures and then present key points to the executive.
  • Strategic Thinking – streamline and forecast the current needs of business through SOP’s. Proactively looking for ways to help the executive, stakeholders, and coworkers.
  • Continuously Monitoring/Assessing overall Structure – of the company, yourself, and your peers to make improvements or take corrective action.
  • Time Management – managing your time and priorities and those of the rest of the team.
  • Coordination between the executive and stakeholders – work as the liaison between stakeholders and the executive. Facilitate meetings, prepare presentations and be the point of contact for clients.
  • Relationship Management – build a rapport with the team and stakeholders. Being the face of the business will involve a high level of speaking with stakeholders, vendors, and other executives. Be professional, poised, and courteous.

*This EA role is NOT heavy on calendar, travel, or event management, it is more of an interactive role between the internal team, stakeholders and the executive.

Other Important Duties / Responsibilities:

  • Prepare proposals, contracts, reports, and financial summaries.
  • Assist with updating and maintaining property management pipeline.
  • Facilitate and attend all daily company meetings – record notes, tasks and next steps for each meeting.
  • Expect to receive over 50 emails a day to sort, respond to and address.
  • Manage all follow ups for the executive – specific hour or day reminders to reach out to clients, send proposals, follow-up emails, etc.
  • Track tasks of all interrelated companies from emails, meetings, or verbal requests.
  • Perform general office duties – ordering supplies, office coordination, maintaining company records.
  • Track out of office, vacation, and sick time for all employees.
  • File and retrieve corporate documents, records, and reports.
  • Onboard and train new employees – high level of the interrelated companies, business structure, key stake holders, company platforms, etc.
  • Travel arrangements for the executive.

Other Job Factors:

  • This job requires more than 40 hours a week depending on various deadlines and projects.
  • This job is fast paced and requires someone who thrives on autonomy and does not require a lot of direction.
  • Saturday morning 1:1 with the executive (1hr) – may require weekend work.
  • This is a hybrid role of in office and remote – 3 days remote and 2 days in the office.

Job Type: Full-time

Pay: $65,000.00 – $70,000.00 per year

Experience:

  • Microsoft Office Products: 5 years (Required)
  • Executive/Personal Assistant: 5 years (Required)
