Join the Straz Center for the Performing Arts Team

As a Special Events Coordinator, you will play a key role in organizing and executing the Straz Center’s important fundraising events, as well as donor cultivation activities and stewardship events managed by the Development team. You will oversee various aspects of auction management, restaurant participation in TASTE at The Straz, affinity groups, and volunteer committees to ensure the success of related events.

The ideal candidate for this role will report to the Director of Special Events and should be a well-organized, strategic, and detail-oriented professional with excellent communication skills. Collaborating effectively with staff, volunteers, donors, and vendors is crucial for this position.

Essential Functions:

  • Support the planning and execution of revenue-generating fundraisers like Broadway Ball, TASTE at The Straz, and Opera Tampa Gala alongside the Director of Special Events.
  • Manage logistical needs for Broadway Ball After Dark and oversee auction administration, donor solicitation, and coordination with auction donors.
  • Coordinate restaurant participation at TASTE at The Straz and handle administrative tasks related to event planning such as mailings, sub-committee meetings, and reservation tracking.
  • Facilitate sponsor identification, cultivation, solicitation, and stewardship for events while working to optimize vendor relationships and reduce costs.
  • Plan and execute donor cultivation events, secure vendors and in-kind donations, and collaborate with different departments to ensure event success.
  • Assist in collateral and digital communications coordination, including web updates and event collateral distribution.
  • Represent the Development department at production and interdepartmental meetings, maintain CRM records, and assist with database management.
  • Stay updated on Tessitura and other event software, fundraising trends, and assist in other departmental duties as needed.

Minimum Qualifications:

  • Prioritize tasks effectively, pay attention to detail, and manage multiple projects simultaneously.
  • Strong interpersonal and communication skills, with the ability to work with volunteers and donors.
  • Self-motivated, organized, and capable of working in a dynamic environment.
  • Proficiency in PC skills including Microsoft Excel, Word, Publisher, and PowerPoint; experience in fundraising or non-profit work is beneficial.
  • Enthusiasm for the arts and flexibility to work variable schedules, evenings, weekends, and holidays.

Education and Work Experience:

  • Bachelor’s degree or equivalent practical experience.
  • Two years of fundraising and/or special events coordination experience with a proven track record of success.

Physical Demands:

  • Use office equipment, operate computers, and communicate effectively in person and by phone.
  • Transport event materials up to 10 lbs. and move around the campus on event days.

Work Environment:

  • Engage in a moderate to loud noise level work environment.
