Location:  St. Petersburg, FL

Jamison Professional Services, Inc. (“JPS”) is currently seeking a qualified and motivated professional for the position of Personal Property Assistant to it’s clients Property Accountability Officer (PAO) and Property Custodian (PC).

Job Description:

  • Maintain current custodial records for all accountable personal property within their assigned custodial area.
  • Track accountable property to ensure it is properly maintained.
  • Identify and report to the PAO and PC all excess inventory.  Act as liaison between divisional office and field staff to coordinate the excess process.
  • Act as liaison between divisional office and field staff in the collection of hand receipts during annual property inventory.
  • Promptly submit appropriate reports to the PAO and PC for lost, missing, stolen, destroyed, damaged, or rendered unserviceable accountable personal property.
  • Affix property identification number (bar code) labels onto accountable personal property.
  • Conduct physical inventories and assist PC in reconciling inventory records.
  • Verify the transfer of all personal property prior to an employee’s separation from the agency.
  • Maintain a record of accountable personal property assigned to his/her custodial area that is removed for use or repair outside of the custodial area.
  • Ensure that loaned accountable personal property is returned upon expiration of the loan.
  • Ensure all procurement documentation for new personal property is complete for upload into Sunflower system by PC.
  • Assist agency managers with responsive documentation to various audit requests.
  • Assist in annual audits of agency records management.
  • Provide administrative support to 20+ divisional staff and 30+ field staff.
  • Assist Office Manager with coordination of permanent change in station (PCS) moves.
  • Assure administrative and logistical support of 10 agency offices throughout the southeast.

    Qualifications and Requirements:

  • Must be proficient in administrative procedures and practices
  • Must possess strong interpersonal communication skills
  • Demonstrated ability to work independently and as part of a diverse team
  • Excellent written and oral communication skills
  • Must be proficient with MS Office applications advanced features as well as Internet navigation and search applications
  • Ability to manage multiple deadlines and experience with facilitation and outreach and engagement required
  • Document all requests received during the same business day
  • Verify and document all requests have the required information within two days of receipt
  • Ensure the appropriate parties are aware of any issues within 24 hours of discovery or notice
  • Ensure statuses are provided to all appropriate parties on a weekly basis
  • Initiate required investigations within 2 days of receiving the requests
  • Inform the client of any issues related to the program as they arise, requested as needed basis, and as required herein via monthly activity reports
  • Prepare and submit special correspondence to document program issues
  • Prepare briefing material on status of assigned projects for presentation
  • Provide a monthly report of activities performed during the reporting period (MS Excel or Word) to the client. This report shall include full specific details of all work performed supporting the assigned program; including, details for labor hours, issues and schedule status.  Report shall include plans for near-term activities, tasks initiated, tasks completed, and lessons learned
  • Provide submittal review comments as required by the assigned project schedules

Education:

Minimum High School Diploma

Experience:

Minimum of 5 years of personal property management and experience. 

Travel:

Some travel involved in the performance of inventory at field offices in the Southeast US.

U.S. Citizenship: Must be able to successfully pass a Federal Government level background check.
