Role: The Tenant Service Coordinator will assist the property managers with any administrative tasks with the goal of together successfully managing the properties in the portfolio. Tasks will include:
- Coding Invoices – code and prepare invoices for property manager approval. Attach service tickets and any backup the manager will need in order to approve the expenses. Contact maintenance for backup and information as needed.
- Prepare new vendor packages for accounting – collect COI and W-9 from all new vendors and obtain updated information as needed.
- Assist property managers with AR activities by sending late rent letters as requested.
- Maintain facility sheets to ensure tenant contacts and contractor information is up to date.
- Send tenant correspondence and building information to tenants as needed.
- Receive tenant calls and input service requests into work order system and dispatch to field personnel.
- Prepare new tenant welcome packages
- Process monthly credit card bill approvals
- Assist in coordinating tenant appreciation events
- Administer tenant surveys and provide response reports to Director of Property Management to review
- Preparing standard contract forms for review and signature by managers.
- Other Duties as assigned
Skills:
- Minimum 2-4 years’ experience as an administrative assistant
- Commercial real estate/property management experience a plus
- Proficient in Microsoft Office (Word, Excel, Outlook, etc.)
- Yardi experience a plus
- Must have excellent verbal and written communication skills
- Ability to work in a fast-paced work environment
- Strong attention to detail
- Paralegal certificate strongly preferred.
Education:
Associates degree and above, a plus
Physical Requirements:

- Hearing/Listening: Clear Speech.
- Touching/Dexterity: Walk; Bend; Reach; Finger. Lifting – 25 pounds. Sit/Stand.
