Our Tampa office is searching for a Transaction Coordinator! This dynamic team member will perform general administrative and accounting duties and assist with projects and marketing efforts to support assigned sales, leasing and management teams. Included will be the performance of the duties that follows
DUTIES AND RESPONSIBILITIES
Document Management
- Manage transaction documents.
- Upon receipt of transaction documents stores in appropriate database folder and executes appropriate checklists.
- Upon receipt of signed Confidentiality/Registration Agreements, sends offering memorandums (packages) in a timely manner.
- Communicates with agents upon receipt and completion of transaction documents.
General Agent Support
- Maintains databases, pipeline reports, and tracking spreadsheets including but not limited to e-blast tracking spreadsheets.
- Manages the creation and storage of client and deal folders.
- Performs general research.
- Updates Status Reports for sales and leasing sales team members.
Database Maintenance
- Maintains company database by adding or verifying contact information, updates listing pipeline and property databases to ensure orderly files and accessibility.
- Tracks Website Registration and Link Tracking.
Miscellaneous
- Maintains strict confidentiality regarding company marketing and business matters.
Requirements:
- Must possess demonstrated administrative organizational skills and the ability to multi-task in a fast-paced setting.
- Strong written and verbal communication skills (professional level English). Must be able to speak clearly and concisely. Must possess the ability to represent the company professionally both in person and over the phone with a pleasant demeanor and customer service focus. Professional business attire is required.
- Must possess problem-solving ingenuity and team player qualities.
- Work requires continuous attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
- Professional level proficiency in computer skills including MS Office applications (Excel, Word, Outlook) and internet/application software required along with a willingness and ability to learn new software programs.
- High-level data entry skills are required.
- Intermediate knowledge of Adobe creative suite – Acrobat Pro or Flash strongly preferred.
- Should have experience working in databases.
