Scaglione Rutemiller, LLC (of Keller Williams Realty South Tampa) is a young (1.5 year old) real estate group which has experienced rapid growth. It’s principal partners combine 15+ years of real estate experience with 18+ years of Finance/Complex Sales/Marketing & Advertising experience.

Scaglione Rutemiller, LLC is seeking an all star associate to fill an important, multifaceted role on the team. As Transaction Coordinator, Listing Manager & Executive Assistant, the chosen candidate will be central to all customer transactions from the moment they are under contract until the time they close on their real estate purchase or sale transaction.

As the ideal candidate, you will have 4+ years of college education and/or 5+ years of work experience and 2+ years in real estate, mortgage, banking or related fields (a plus). Your are organized and pay close attention to detail. You are self motivated and goal oriented, as there will be opportunities for bonus compensation. You have an innate understanding of the importance of customer service as customer satisfaction will be your primary goal. You are a quick learner, and can operate with a high level of autonomy. When you run into problems and don’t have access to the solution, you’re a creative problem solver. You have a high level of integrity. You’re responsive and leave people feeling understood. You’re polite with customers and can still evenly balance your time between customers. Most importantly, you have an upbeat and infectious personality and leave people feeling better after having spoken with you.

Transaction Coordinator (Contract to Closing) 50%

  • Oversee all aspects of buyer & seller transactions from executed purchase agreement to closing.
  • Coordinate title/escrow, mortgage loan, and appraisal processes
  • Coordinate inspections, creation of ICR form and coordinate completion of repairs
  • Regularly update & maintain communication with clients, agents, title officer, lender etc.
  • Submit all necessary documentation to office broker for file compliance
  • Coordinate moving/possession schedules
  • Fill out necessary paperwork for closings & send DA to title company prior to closing
  • Schedule, coordinate & attend closing process
  • Input all client information into client database system
  • Schedule 30 day, 90 day & 120 day client customer service follow up calls to assist with any home improvement provider recommendations & ask for referrals

Listing Manager (Listing to Contract) 35%

  • Oversee all aspects of sellers’ transactions from initial contact to executed purchase agreement
  • Prepare all listing materials: pre-listing packet, listing agreement, sellers’ disclosures, comparative market analysis, pull online property profile, research old multiple listing service (MLS) listings
  • Consult & coordinate with sellers all property photos, staging, repairs, cleaning, signage, lockbox, access requirements & marketing activities.
  • Obtain all necessary signatures on listing agreement, disclosures and other necessary documentation.
  • Coordinate showings & obtain feedback.
  • Provide proactive weekly feedback to sellers regarding all showings and marketing activities.
  • Coordinate all public open houses and broker open houses.

Input all listing information into MLS and marketing websites and update as needed.

  • Create loop and submit all necessary documentation to office broker for file compliance.
  • Input all necessary information into client database and transaction management systems.

Executive Assistant (15%)

  • Assisting principal agents with occasional emails and warm calls to pre-established prospects or clients (no cold calling)
  • Real estate related errands: Hanging signs on post, placing a lockbox on a door, taking a check to a title company, dropping off something at a buyers home, getting keys copied, meeting photographer for pictures, etc.
  • Administrative: Communicate with company staff (IT, Accounting, etc.) to help resolve an office issue.
  • Scheduling: Meetings, lunches, client appreciation events, holiday parties, networking functions
  • Order letterhead, business cards, signs, etc.
