Coldwell Banker Residential is actively seeking a full-time Transaction/Commissions Coordinator to work in our Central Processing Service Center in Tampa, FL.

Essential Job Duties:

This processor/coordinator position is responsible for transaction and commissions processing to support Coldwell Banker’s sales office operations. This administrative position includes data entry, uploading real estate documents, and the use of systems and checklists to ensure accuracy and timely completion.

The position is responsible for creating all transactions in our proprietary transaction/document management system online and includes managing all listings and sales in our operating systems.  In addition, the processor reviews closing packages, and handles the closing of deals in a paperless environment using our internal accounting system to pay Sales Agents, Referrals and Cooperative Brokers.
Most of the duties of the transaction/commissions processor must be performed without delay, as this is a critical position that affects agents and their business. The position is focused on ensuring accuracy, timely completion, and the highest level of customer service to our Sales Agents and Branch Offices.

Job Responsibilities may include, but are not limited to:

-Create and manage listings, sales and lease transactions utilizing various company systems to ensure all essential and applicable data is accurately entered, updated, processed and closed
-Responsible for reviewing and uploading documentation for proper placement in the system (Homebase) in accordance with information provided by sales associates, parties to transaction, and state and company paperwork requirements
-Work with the branch office administrative staff to complete files, as well as Commissions Audit staff to ensure compliance and data accuracy to prevent processing errors
-Data entry of sales and closing information into internal accounting software (Trident) to generate closing/same day pay authorizations
-Review lease/sales closing packages submitted from sales offices to ensure accuracy, completeness and compliance with state and company requirements.
-Apply necessary commission adjustments and close deals in our internal accounting systems for timely and accurate payments to our Sales Agents, Cooperative and Referring Brokers
-Provide consistent level of support with excellent communication to Leadership, Branch Managers and Office Administrators in our branch offices in response to inquiries regarding commission payouts, deductions, deal setup and commission calculations
-Provide superior customer support to all our agents and supporting staff at our branches and the home office
-Perform variety of other administrative duties as directed and required by business need

Qualifications:
-High school diploma required. Bachelor’s or Associates degree preferred; or equivalent work experience in a customer centric business environment
-Proficiency in the use of Microsoft Office Suite; Ability to use Internet-based software and learn external and internal real estate related applications
-Excellent customer service and communication skills required (both written and oral)
-Ability to interact successfully with both internal and external customers at all levels
-Excellent organizational skills and attention to detail required combined with speed and accuracy
-Ability to multi-task, prioritize and be flexible with changing business needs in a team environment
-Ability to solve problems involving several variables (commissions, referrals, split percentages)
-Solid math and clerical skills (typing, data entry)
-Must be comfortable working independently, taking initiative in daily responsibilities and ownership of tasks
-Real Estate/Mortgage/Title industry experience is a plus

Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, scanners, and printer.
