WHAT WE NEED YOU TO DO:
The Office Administrator (OA) is the “heart of the office”, keeping the business running smoothly, fluidly taking on new assignments and responsibilities, maintaining strong rapport with team members and clients, and effectively communicating across multiple organizational levels.
The OA books travel for all members of the company, tracks information, resolves office and travel support issues, and handles administrative tasks such as answering phones, distributing mail, ordering supplies, tracking inventory, and preparing equipment for new hires.
- Booking and coordinating travel for all company employees.
- Creating client introduction packages.
- Gathering client data needed prior to field team arrival.
- Answering incoming phone calls and being the professional “voice of the company”.
- Communicating with new hires, clients, executive team, and other team members.
- Light administrative tasks—greet visitors, schedule package pick-ups, order supplies, distribute mail, decorate office, etc. as needed or requested.
- Managing office supplies.
- Ordering, organizing, tracking, preparing, and intaking new or returned equipment for newly hired and existing field team members.
- Setting up user accounts, email addresses, and other account information, as needed.
- Researching and recommending ways to reduce equipment costs and travel expenses.
- Proactively seeking assignments and ways to support the efforts and strategy of the Operations and Executive teams.
WHAT WE MUST HAVE:

- Prior Executive Administration experience
- Multi-state team coordination or supervision experience
- Strong MS Excel skills
- Experience handling inventory or managing supplies
- Able to handle a fast-paced environment with frequently changing strategies and goals
- Remarkableattention to detail and very strong organization skills
- Professional appearance and charming personality
