Job Summary
The Wounded Warrior Project (WWP) Welcome Coordinator is the first point of contact for the organization and performs front office reception duties including greeting guests, answering phones, and handling incoming inquiries about the organization.
Essential Duties & Responsibilities
- Answer the door, greet visitors, and assist them as appropriate.
- Maintain inventory, order supplies, and stock supplies. Maintain stock of WWP promotional materials.
- Answer incoming telephone calls, determine purpose of call, and forward to appropriate staff members.
- Record, secure, and ship donor checks to appropriate departments and outside vendors.
- Oversee conference room scheduling.
- Coordinate shipping including weighing, measuring, and movement.
- Coordinate mail distribution.
- Accurately track and monitor incoming visitor traffic to the office. Submit detailed visitor logs to management monthly.
- Coordinate with property and maintenance vendors.
- May assist members of the program staff with administrative duties such as mailings, tracking program information and making appointments are needed.
- Collaborate with Facilities team and Facilities Security team on office access control, email security reminders, emergency readiness, and response to security incidents.
- Oversee access control including visitor management, keycard management, and CCTV and intruder alarm alerts.
- Serve as initial point of contact for teammate security concerns and ensure Facilities Security team is informed.
- Supervise response to security incidents, e.g., call 911 if necessary, alert building security as appropriate, and share incident data (Omnilert).
- Other duties as assigned.

Education & Experience Requirements
- High school diploma or GED.
- Six months of experience providing administrative support.
- Six months of experience of using Microsoft Office.
Preferences
- Associate Degree
- One year of customer service experience.
